Position Overview
We are seeking an experienced Law Office Bookkeeper/Office Manager to manage our accounting and office operations. This role requires a professional who is highly organized, detail-oriented, and experienced with legal accounting systems. The ideal candidate will be proficient with Tabs3 Billing Software and Sage Accounting Software and have a solid understanding of trust accounting practices.
Key Responsibilities
- Manage daily bookkeeping, including payment and trust entries, accounts payable and receivable, payroll, and financial recordkeeping
- Complete monthly, quarterly, and annual tax filings with federal and state agencies; including Bar Association certifications and annual DOR filings
- Utilize Tabs3 Billing Software to generate invoices, track billable hours, and maintain accurate client records
- Oversee Sage Accounting Software for general ledger management, reconciliation, and financial reporting
- Manage Tabs3 and Sage software updates, including rolling out and training to staff
- Maintain Trust Accounting to ensure compliance with state bar regulations
- Perform monthly, quarterly, and year-end financial reporting to principal owners
- Process and reconcile monthly credit card and bank transactions to accounting software
- Recruitment and onboarding of new employees from job posting to first day
- Manage office supplies and ensure office operations run smoothly – this is currently Sue’s responsibility; I just make the trips to Costco for snacks
- Coordinate partner meetings, and office communications
- Liaise with clients on billing inquiries and maintain positive relationships
- Manage and roll out annual open enrollment and assist with various office tasks and projects as needed
Qualifications
- Minimum 2 years of experience in law office bookkeeping or office management
- Strong experience with Tabs3 Billing Software and Sage Accounting Software
- Knowledge of Trust Accounting and compliance with state bar requirements
- Excellent organizational skills and attention to detail
- Ability to work independently and manage multiple tasks efficiently
- Strong communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to maintain confidentiality and handle sensitive information with discretion
- High school diploma required; associate degree in accounting or business administration preferred
Preferred Qualifications
- Experience with legal office management or in a law firm setting
- Certification in bookkeeping or accounting
