SUMMARY of Front Office Professional 

This role is responsible for providing superior customer service to all our internal and external customers at the front desk, while performing other secondary duties as needed and assigned.

Requirements

ESSENTIAL FUNCTIONS:

• Provide superior and genuine customer service to our external and internal customers, visitors, vendors, and other guests while either in person, over the phone, or via email - while always maintaining a high level of professionalism.

• Address all customers’ and other inquiries in an effective and efficient manner.

• Support the accounting and billing departments with various tasks as assigned including, but not limited to:

· Data input and processing of customer Job final cost system records and Job close transactions.

· Sending certain billing related email notifications internally, such as status reports to the sales and project management teams.

· Data entry of customer check deposits in company ERP/Accounting system.

• Support accounting and purchasing departments with data entry, processing, and monitoring of:

· Corporate VISA credit card transactions to facilitate the accounting of such transactions.

· Purchase orders and purchase order requisitions within the company ERP/Accounting system and vendor invoice management website.

· Matching certain supplier invoices against company purchase orders.

· Batches of supplier invoices to be paid to suppliers via check against the company vendor invoice management system for accuracy.

• Maintain up to date internal company phone list and evacuation safety protocol employee list.

• Maintain and process certain office supplies inventory and orders.

• Assist all visitors with badge check-in protocol using kiosk located at front office pursuant to company physical building access security policies.

• Assist the marketing department with scheduling and coordination of various company internal/external events.

• File and maintain an extremely clean, organized, and professional physical environment.

• Answer and transfer all incoming calls timely and while maintaining quality customer service.

• Process revisions and edits to customer quote letters for sales team and account directors.

• Facilitate and foster new and existing relationships with our customers.

JOB REQUIREMENTS SKILLS:

• Front office professional must have exceptional customer service skills.

• Exceptional interpersonal skills with a positive attitude.

• Excellent written and verbal communication skills and ability to cooperate with all levels of staff, customers, suppliers, and operations.

• Proficiency with Microsoft software (Word, Excel, Outlook) and Adobe Acrobat (PDF).

• Demonstrated success handling multiple priorities in changing environments.

• Demonstrated ability to troubleshoot and successfully resolve problems.

• Organization.

• Ability to work cooperatively in a team environment is essential.


MINIMUM EXPERIENCE AND EDUCATION REQUIRED:

• Minimum High School Diploma or GED

• Must have extraordinary customer service skills with a positive attitude.

• Prefer 2 years of experience but not required.

• Prefer social media experience using content (Instagram, Facebook, Twitter, LinkedIn) but not required.


DEPARTMENT: 900-Office

CLASSIFICATION: Non-Exempt

SALARY RANGE: Depends on skills and experience.

REPORTS TO: Controller

SCHEDULE/ SHIFT: This is a full-time position. Monday-Friday, 8:00AM to 5:00PM

SUPERVISORY RESPONSIBILITY:

This position has no supervisory responsibilities.


WORK ENVIRONMENT:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or listen. The employee is frequently required to stand, walk, use hands and fingers, and reach with hands and arms. The employee is occasionally required to sit, climb, balance, stoop, kneel, crouch or crawl. The employee must frequently lift and move up to 5 pounds and occasionally lift and move objects up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
