We are seeking a highly organized and dynamic Practice Administrator to join our practice. The Practice Administrator is the backbone of our Prenuvo Clinics, remote nurse practitioner (NP) services—ensuring seamless daily operations, exceptional patient coordination, and robust administrative support. In this hands-on role, you'll manage schedules, oversee patient workflows, maintain documentation, coordinate licensure, and serve as the central point of contact for clinicians and support teams.
This role is fully remote. Candidates located in US within registered locations on Pacific Time Zone (PST) is strongly preferred.

What You'll Do
Patient Care Coordination
- Schedule and assign patient consultations to NPs, confirming appointments and sending reminders.
- Conduct outbound patient calls for pre-visit intake, prescription follow-ups, and translator arrangements.
- Liaise with pharmacies and external vendors as needed.
- Manage third party relationships for the practice.
- Maintain and organize clinical records, encounter notes, and follow-up task lists.
- Monitor inboxes and task queues—logging, prioritizing, and escalating issues as needed.
- Ensure accurate data entry and adherence to documentation standards and patient privacy regulations.
- Develop and update SOPs, checklists, and training materials.
- Build and maintain operational trackers for volume metrics, coverage, and KPIs.
- Use systems to capture requests, track progress, and confirm completion.
- Act as the primary liaison between NPs, administrative staff, and clinical leadership.
- Facilitate smooth handoffs by distributing meeting notes, action items, and process updates.
- Support onboarding of new team members and roll-out of process enhancements.
- Assist the CNE and provider team in meetings, note taking and distribution, follow-up on project items, and additional task management as needed.
- 3 years in clinical administration or medical office management.
- Proven ability to manage multi-provider schedules and complex patient workflows.
- Expert proficiency with Google Suite (Drive, Sheets) and strong comfort using Slack.
- Excellent organizational, communication, and interpersonal skills.
- High attention to detail and a proactive, solutions-oriented mindset.
- Project management experience or certification (PMP, PRINCE2, Agile).
- Background in telehealth, concierge medicine, or preventive health models.
- Familiarity with basic quality and compliance frameworks in healthcare.
- Full-time, remote role aligned to Pacific time zones.
- Occasional evening or weekend availability based on patient volume or special initiatives.
- Fast-paced environment demanding adaptability, clear communication, and reliable follow-through.

- The base salary for this role ranges from $100,000-$110,000 in local currency, depending upon experience
