Title: Administrative Coordinator

Schedule: Monday – Friday 9am – 5pm 1 remote day possible.

Location: 8 East 3rd Street, (Manhattan)

Salary: $45,000 - $55,000

Overview of Program:

The Program is an OASAS part 820 residential stabilization and rehabilitation program. Consumers receive substance use treatment in accordance with 820 residential services. This includes services from LPN's, counselors, psychiatrists and medical doctors. The program is designed as a holistic and highly individualized model of treatment and focuses on client-centered and trauma-informed approaches to helping people with substance use and co-occurring mental health disorders.

Position Overview:

Reporting to the Program Director for the 820 Residential Services, the Administrative Coordinator is responsible for working in collaboration with nurses, providers, departmental and program staff to assist with administrative and operational functions within the program.

Essential Duties and Responsibilities:

In partnership with other program and healthcare departmental staff, facilitate the admission and enrollment of clients to the program and assist with other clerical duties as needed for overall program function. Duties include, but are not limited to:

  • Collaborating with Medicaid Coordinator to assist with client insurance enrollment and authorizations.
  • Managing day-to-day program volume through coordination with provider and clinical staff; assist with processing incoming clients through admission and electronic health record (eCW) registration.
  • Ensuring all new clients are promptly and accurately registered using required, standardized forms; ensuring existing client information, including current registration and other required forms, contact and financial information is up-to-date.
  • Process client insurance information and eligibility verification within guidelines and appropriate systems, including but not limited to ePACES and other payer-based portals.
  • Coordinate with program staff to facilitate organization of program documentation, staff credentialing and other clerical needs.
  • Ensure program reception areas are clean and organized; materials and signage are visible and up to date.
  • Place orders and process petty cash, check requests and purchase orders.
  • Process paperwork for new hires and manage employee time sheets for payroll.
  • Assist with organizing and managing file system for program documentation and records.
  • Protect patient confidentiality in accordance with HIPAA guidelines and regulations.

Minimum Qualifications

  • High school diploma or graduation equivalency degree (GED)
  • Minimum one (1) year work experience in a medical office setting
  • Basic competency in Microsoft Office (Word, Excel)
  • Substantial telephone etiquette, verbal and written communication skills
  • Strong time management, multi-tasking, organization, scheduling skills
  • Strong customer service / relationship management skills

Preferred Qualifications

  • Associates Degree
  • Knowledge of substance use treatment services
  • Knowledge of office procedures usually obtained from a certificate or Associates degree
  • Experience with the eClinical Works (eCW) electronic health record system a plus
  • Bilingual; fluency in Spanish a plus
