Requirements:
- High school education or equivalent experience
- Professional demeanor, solid interpersonal skills and ability to work with confidential information
- Ability to handle emergency and pressure sensitive situations
- Proficient computer skills including Word, Excel, and Outlook with the ability to learn and use other programs as needed
- Scheduling experience
- Ability to read and comprehend documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Excellent written and verbal communication skills
- Valid Driver’s License with acceptable driving record and reliable transportation and criminal background check
- Able and willing to work flexible hours and travel to sites as needed
- Able to prioritize and schedule work assignments according to property needs while ensuring an outstanding level of customer service
- Able to perform the essential physical qualifications (listed below)
Responsibilities:
Make Ready
- Review Turns Manger's or Turns Manager Assistant's Move-Out Inspection Notes to process out Final Account Statement
- Update make ready board
- Schedule and monitor vendors and contractors for turns based on schedule and needs
- Schedule and monitor maintenance personnel for turns based on schedule and needs
- Assign Maintenance Personnel to walk vacant readies and create punch lists
Service Requests
- Review all online service requests
- Communicate with office personnel with issues or concerns with work orders
- Assign work orders according to time and skill level
- Contact and schedule vendors needed to complete service request(s)
- Review work orders when complete to ensure all information is included
- Review On-Call Requests with staff and create work orders / Follow-Up work orders as needed
Other Duties
- Meet with Property Manager and review the status of service requests
- Meet and discuss vendor and contractor scheduling and completion updates for service
requests
- Communicate with residents about emergency shut-offs, in-unit inspections, and special projects like roof work, drywall repair, and high-utility usage checks
- Review, notice, discuss, and schedule inspections
- Invoice residents relating to reported violations
- Review and Code Invoices
- Contact vendors & contractors and request updated insurance certificates
- Coordinate vehicle maintenance for all trucks and utility vehicles
- Asset data management as inventory is used
- Create and monitor completion of preventative maintenance schedule
- Assume additional duties and responsibilities when Maintenance Supervisor is on Vacation
