The Administrative Assistant is responsible for providing support with the day-to-day administrative functions of the branch by creating and maintaining records, compiling reports, gathering and processing data, scheduling and coordinating, office functions correlating to the established procedures and policies.
Primary Responsibilities
- Answers and directs phone lines
- Greets office guests
- Collects and sorts mail
- Assists with posting, submitting, and approving payroll for field personnel
- Audits automated and manual timecards for payroll processing
- Exports and imports timecard information from timecard software into payroll software
- Provides administrative support to all team members as necessary
- Creates and maintains project files with supporting documentation for inspection or daily query, both electronic and physical, if applicable
- Ensures all vendor tickets are coded correctly and submitted to accounts payable for payment
- Provides support with account collections, vendor set up and coding of invoices
- Assists with accurate invoicing for services provided to customers
- Submits project cost reports to management and operations daily
- Reconciles company credit card transactions and expense reports for field personnel
- Other duties as assigned
Qualifications
- Understanding of union / non-union and prevailing wage payroll
- Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical problem solving
- Proven time management and follow-through skills with the ability to work on multiple tasks with tight deadlines
- Display a high level of organization and prioritization for tasks at hand
- Ability to work both independently and in a collaborative team-oriented environment
- Display superior written and oral communication skills and effective listening skills
- Maintain a tactful, mature and professional demeanor with well-developed interpersonal skills, including the ability to work with diverse personnel
Education and / or Experience
- A minimum of 2 years administrative experience as an office administrator, office assistant or relevant role
- A minimum of 2 years of payroll / certified payroll experience
- High School Diploma
- High Volume environment
- Experience with Microsoft software such as Word, and Excel
