Job Title: President's Office Coordinator Department: President's Office Job Description: The president’s office coordinator reports to the executive coordinator. The president’s office coordinator will work closely with the president to compose correspondence with internal and external audiences utilizing key messages and various forms of communications (electronic, letters, phone). This role will serve as the main technical support for the president’s office. The coordinator will serve as a member of the president’s support team to ensure the smooth operation of the president’s office. Job duties include but are not limited to the following: Prepares presidential communications through use of Microsoft Word, and other database programs. Serves as part of the president’s support team, answers phones, greets visitors and has a working knowledge of the college’s services to assist with referrals and questions. Serves as event coordinator for President’s Office and works with dining services, College Events and Physical Plant to coordinate special events. This includes on and off campus events and occasional evenings and weekends. Coordinates with the Physical Plant team for any access needs to the president’s residence. Inputs information into appropriate databases and maintains president’s office files as needed. Record and distribute all incoming correspondence. Assist with Board of Trustee meetings, Opening Convocation, Commencement, and other larger campus-wide events. Provide main technical support for phone, computer, and telecommunication equipment issues for the president’s office. Assist with both hardware and software issues as needed. Operate and maintain a variety of office equipment including personal computer, copier, phone system, scanner, etc. as well as maintaining office supplies and inventory. Regular attendance is an essential function to perform the duties of this position. Other duties as assigned. Assist with President’s calendar and scheduling Main contact and support for external search firms for Senior Leadership position searches. Coordinate and serve as support for searches held in-house. Serve as backup support for designated members of the senior leadership team with purchasing and expense reports as needed. Job Requirements: High School diploma or G.E.D required; Bachelor’s degree strongly preferred. This position requires a valid driver’s license, a good driving record, and must be insurable by the College’s insurance carrier. Three years of office administration experience required. Proficiency with Microsoft Office required; proficiency with database maintenance and reporting preferred; proficiency with spreadsheet and database applications required; proficiency with various hardware and software systems required. Strong writing skills Ability to work effectively, collaboratively, confidentially, and efficiently with students, faculty, staff, trustees, community partners, and alumni required. Demonstrated ability to organize numerous projects requiring attention to detail, consistently meet deadlines, exercise professional judgment and solve problems. Experience in a college setting, especially in an administrative office and with an integrated board management software system, is preferred. Familiarity with Workday software is preferred.
