The Receptionist will also be responsible for receiving and sorting mail, handling customer cash/check transactions, and ensuring efficient communication within the organization.
Responsibilities
- Manage incoming telephone calls, forwarding them to the appropriate personnel or department
- Provide callers with information about the organization, including address and directions
- Welcome on-site visitors, ascertain the nature of their visit and announce them to the relevant personnel
- Receive, sort, and route mail and maintain and distribute publications
- Respond courteously to public or staff inquiries, providing information or assistance within scope of knowledge
- Use Microsoft Excel, Microsoft Outlook, and Microsoft Word for data entry and email correspondence
- Organize files and schedule appointments as necessary.
- Minimum of 1 year of experience in a receptionist role or similar.
- Proficiency in answering a multi-line phone system.
- Strong customer service skills and the ability to interact professionally with all levels of staff and visitors.
- Experience with data entry and maintaining accurate records.
- Ability to manage email correspondence effectively and professionally.
- Excellent interpersonal skills and a friendly demeanor.
- Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word.
- Experience in organizing files and maintaining a well-ordered workspace.
- Ability to schedule appointments, manage calendars, and coordinate meetings.
- High school diploma or equivalent qualification.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and manage time effectively.
- Strong problem-solving skills and attention to detail.
- Bilingual Spanish Required
