Job Description

This is a temporary position for 18 months, backfilling an employee who is moving onto an internal project. The role will be paying between : $55,000 - $73,000 per annum

Purpose of the Job :

As Contracts Specialist, you are responsible for accurately entering orders into the system including updates where required.

This role functions as the primary point of contact for customers in obtaining order status, milestone tracking and any other required updates from time of order receipt through order acknowledgement and until final shipment.

Key Responsibilities and Outcomes :

Contracts

• Responsible for order entry and contractual activities from order receipt through shipment.
• Liaison between all departments (sales, engineering, quality, production) within Rotork factories to ensure the fulfilment of customer requirements.
• First point of contact for customer escalations, changes to scope, and requests to expedite delivery.
• Provide technical phone support and serve as a resource for our customers, representatives, distributors and Area Sales Managers to help promote Rotork.
• To organise the working day so that priorities are addressed, customer expectations are met and internal delays reduced
• Update all systems for accurate output forecasting and reporting
• To identify and resolve order queries with customers and ensure that their requirements are correctly interpreted and fully understood
• To liaise and use negotiation skills with both customers and internal departments regarding delivery or special requirements
• To diligently and accurately carry out contract reviews of customer orders
• To work with the Quality department to resolve and investigate customer quality complaints, ensuring customer expectations are managed through to resolution
• To seek and implement improvements within your department and the wider company where appropriate
• To use existing procedures to solve routine or standard problems

Qualifications

Qualifications & Technical knowledge :

• Motivated self-starter able to work independently and with a team.
• Proficient in Microsoft Office. Able to quickly learn & utilize business software and internal programs.
• Ability to interact with customers on routine basis and must demonstrate a high level of Customer Service.
• Must be thorough, accurate, and organized, with a strong attention to detail.
• Must be able to prioritize workload and manage multiple tasks in a fast-paced environment. Strong time management skills

Essential

• Strong Customer Service experience with typically 3 years’ experience in a relevant role and / or industry
• Experience in using ERP and CRM Systems
• Degree or Engineering / Technical Qualification (or equivalent)
• Proficiency in data analysis and leveraging analytics for sales strategy development.

• Good communication skills, customer focused, strong multitasker and good at executing tasks
• Proactive approach to challenges in order to find solutions to customer issues
