What are the responsibilities and job description for the Accounts Payable Specialist position at Salz Group?
The Salz Group, a QSR Franchisee, is seeking out an Account Payable Specialist to continue driving success in our Finance Dept. As a growing company, this in-person role will report directly to the CFO and will ensure timely and accurate processing of AP transactions, maintain strong vendor relationships, and contribute to the financial and operational efficiency of our organization. Having an expansion mindset and flexibility will be best, as we are poised for continued growth within our various brands.
Key Responsibilities of Accounts Payable Specialist
- Invoice Management:
- Review, verify, and process a high volume of invoices, ensuring accuracy and proper coding to the correct restaurant locations and expense categories.
- Match purchase orders, receipts, and invoices to validate transactions.
- Address and resolve invoice discrepancies in collaboration with vendors and internal teams.
- Payment Processing:
- Prepare and execute weekly payments via checks, ACH, or wire transfers.
- Maintain Rent lease working files file on monthly basis and ensure timely payments along with respective real estate taxes and utilities charges
- Ensure compliance with payment terms to maintain positive vendor relationships and optimize cash flow.
- Maintain Purchase Orders for all new restaurants under development and maintain proper cash flow.
- Maintain detailed records of all payments in the accounting system.
- Vendor Relations:
- Respond promptly to vendor inquiries regarding payment status, discrepancies, or account reconciliation.
- Collaborate with the procurement team to manage vendor setups, maintain accurate vendor records, and support onboarding processes.
- Reconciliations:
- Reconcile vendor statements monthly to ensure all invoices and payments are accurately recorded.
- Assist in period-end and year-end closing by preparing AP-related reports and schedules.
- Compliance and Reporting:
- Monitor and ensure adherence to corporate policies, franchise agreements, and tax regulations (e.g., sales tax, 1099 reporting).
- Ensure timely Bonus/Incentive calculations as per designed policy and coordinating with HR for disbursement.
- Generate and analyze AP aging reports to manage liabilities effectively.
- Process Improvement:
- Identify opportunities to improve the efficiency and accuracy of accounts payable processes.
- Support the implementation and optimization of accounts payable automation tools.
Education & Experience:
The right candidate will possess 2-3 years of experience in an Accounts Payable role, with a bachelor’s degree in accounting preferred. Proficiency in excel, as well as excellent communication and problem-solving skills is essential, but having knowledge of SAGE, BILL.COM, and Restaurant-365 would be an added advantage. Those candidates with previous experience within retail and/or multi-unit restaurant environments will be heavily considered.
