The position:
We are seeking to fill an Executive Assistant Position. The Executive Assistant will provide highly confidential, complex, and responsible administrative support to the Development Director and Senior Development Staff. Will exercise judgment to reflect executives' style and agency policy. Key responsibilities include taking meeting notes, official minutes, and transcribing information for official records.
The Executive Assistant ensures the successful operation of the Development team by keeping processes running smoothly and efficiently through the cohesive management of multiple tasks and competing priorities. Given the nature of this role, the Executive Assistant must be collaborative, always demonstrate professionalism, maintain absolute discretion and confidentiality, and be able to exercise excellent judgment in all aspects of the role.

The Executive Assistant will be paid, $32.08 - $48.13 per hour D.O.E, Knowledge, Abilities.

The ideal candidate has:
- Three years of work experience as an administrative assistant or related work plus Bachelor's Degree in business, public administration, or a related field (or any combination of education and experience that provides an equivalent background required to perform the work of the class)
- Valid Washington driver's license with fully insurable driving record.
- Provides complex executive support for senior management. Coordinates schedules for meetings, arranges appointments, and schedules visitors. Works independently in answering telephone calls and routine email and written correspondence for the Director of Development.
- Serves as the personal representative of the Director of Development as needed and acts for higher level management as directed; and serves as liaison with other departments and outside agencies.
- Assists in handling confidential issues; assists management in the development and administration of discipline and performance appraisals; monitors and/or participates in the development and coordination of training programs.
- Conducts research and data collection on special assignments, coordinates responses to inquiries and proposals from other sections of the department or other departments.
- Coordinates and directs a variety of office management functions and activities such as preparing purchase requests for supplies and equipment; oversees the maintenance and processing of payroll and attendance records; and develops and implements office procedures.
- Provides administrative support for senior staff which may include writing, preparing PowerPoint presentations using material provided by senior staff, and occasional office support.
- Participates in a variety of personnel activities for the department; tracks the status of personnel actions through the personnel system; participates in interviewing and selecting new employees; and advises and assists in the development of interview questions, written exercises, scheduling, and monitoring.
- Coordinates selection processes for and administration of contracts for the department; monitors contract expenditures and consultant performance; and coordinates requests for proposals and consultant selection processes.
- Prepares vendor payments within budgetary constraints, tracks payments, and maintains supplies and equipment inventories.
- Coordinates and participates in the development and assembling of the annual budget proposals; distributes budget instructions; and coordinates and follows-up on preparation of unit and section budgets; and performs budget expense tracking throughout the year.
- Ensures that all safety and health rules, standards and procedures are observed to eliminate potential hazardous conditions; arranges for, conducts, and ensures that accident investigations of all accidents are formally reported on or within the next workday of when the accident occurred; monitors and enforces the agency's Safety and Health Program, and actively supports and participates in the Emergency Preparedness program and tasks.
- May serve as team leader for, or personally carries out special studies, projects, or reports; serves on special task forces and committees; makes recommendations on administrative or operational policies, procedures, and systems; and prepares operating instructions, research reports, policy and procedures statements and other written materials.
- Managing development department online presence via SharePoint, Our House, SHA external website and relevant social media outlets.
- Coordinates logistics for internal and external meetings, events, and special activities.
- Coordinates travel and special event attendance for development staff.
- Creates and manages systems to improve efficiency of administrative functions within and across the division.
