Seitz Dermatology seeks an Office Manager to lead the administrative team and ensure smooth and efficient daily operations. The practice is dedicated to providing high-quality patient care in a welcoming and professional environment. This is a critical leadership role that combines administrative expertise with a strong understanding of healthcare operations.
RESPONSIBILITIES
Oversee all day-to-day administrative functions of the dermatology clinic.
Manage and supervise front office staff, including scheduling, training, and performance evaluations.
Optimize patient flow, scheduling processes, and appointment confirmations to minimize wait times and maximize efficiency.
Ensure compliance with all healthcare regulations, including CLIA, OSHA and HIPAA standards. This also includes both employee and company privacy.
Handle patient billing, insurance claims submission, and financial management for the practice, including payroll and knowledge of QuickBooks.
Order and manage medical and office supplies, maintaining appropriate inventory levels.
Resolve patient concerns and provide exceptional customer service.
Collaborate with providers and staff, to ensure effective communication and teamwork.
Track and report on key performance indicators.
May assist with special projects, marketing efforts, or other duties as assigned by the practice owner or leadership.
QUALIFICATIONS
Proven work experience as a Medical Office Manager, preferably in a dermatology or specialty practice setting.
Strong leadership skills with the ability to supervise, motivate, and mentor a team.
Excellent organizational, time management, and multitasking abilities.
Proficiency with Electronic Medical Records (EMR) systems), scheduling software, and insurance verification workflows.
Knowledge of medical billing, coding, and insurance terminology.
Strong communication (written and verbal), interpersonal, and customer service skills.
Detail-oriented and able to maintain accuracy in a fast-paced environment.
Ability to work independently and as part of a collaborative team.
Familiarity with healthcare regulations (HIPAA, OSHA) and ethical standards.
