Description

SUMMARY: Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system. Schedules appointments and meetings, helps with directing callers, and otherwise relieves human resources of clerical work and minor administrative and business detail. The ultimate objective of this position is to help advance the Seminole Nation by delivering value and signature moments every day.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: include, but are not limited to the following:

 

  • Creates and supports a work environment/culture focused on building high-trust relationships by extending support and respect to all.
  • Provide friendly and courteous customer service while greeting visitors; escorts them to the appropriate area or person.
  • Keep an excellent attendance record for operating hours of the Administrative Office.
  • Responsible for answering and directing phone calls and visitors, verbal communication, listening, focus, organizing, and informing others.
  • Route incoming mail daily; maintain daily outgoing mail logs for Administrative Offices while preparing outgoing mail.
  • Schedule and organize appointments, meetings, and training for the organization and ensure the appointments are on the Microsoft Calendar.
  • Provide support to special projects when needed. Including providing reports to the Director of Human Resources when needed.
  • Prepare delivery packages for the Courier.
  • Composes and types of routine correspondence and other records.
  • Maintains a safe and clean reception area including visitor restrooms.
  • Arranges and coordinates travel reservations when needed.
  • Maintain the Administration Conference room for any Administrative or HR Events.
  • Provide support to special projects, including providing support to other departments when needed.
  • Conducts research, and compiles and types of statistical reports.
  • May coordinate and arrange meetings, prepare agendas, reserve, and prepare facilities and record and transcribe minutes of meetings when needed.
  • Makes copies, sends faxes, scans and/or corresponds with emails.
  • Assist the HR Department with company issued inventory and orientation materials.
  • Maintain confidentiality of all records, reports, data, and phone conversations.
  • Establish files according to policies and procedures.
  • Keep personnel calls confidential for all SNGE employees including all personnel actions such as salary increases/decreases, disciplinary actions, new hire offers, etc.
  • Oversee all company uniform phases, including but not limited to issuing, ordering, and inventory.

Qualifications


KNOWLEDGE AND SKILLS - EXPERIENCE and/or EDUCATION:

Three months to twelve months of similar or related experience.  Equivalent to a high school education.

 

MANAGERIAL RESPONSIBILITY:

Has no supervisory responsibility.

 

PROBLEM SOLVING:

A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or can be of a personal or sensitive nature. Work may involve motivating or influencing others.  Proven ability to provide outstanding customer service. Must have excellent problem-solving abilities and be able to deal with stressful situations in a professional manner.  Must be a Team Player.  Must be a detail oriented, organized individual with the ability to multi-task and be able to work in a fast-paced environment.  Displays strong verbal and written communication skills with proven ability to handle conflict situations.

 

PHYSICAL DEMANDS:

The work requires moderate physical exertion such as long periods of standing, repetitively lifting lightweight objects with frequent bending or stooping, recurring lifting of moderately heavy items. Occasionally lifts heavy objects over 50 pounds.

 

WORKPLACE ENVIRONMENT:

The job is performed indoors with frequent exposure to loud noises and fumes (e.g., cigarette smoke)
