Job Description for: Payroll/HR Assistant

Summary:

The Payroll/HR Assistant must be able to perform a variety of support tasks associated with payroll operations. Process wage and salary payments, audit time entries and schedule garnishment payments. Calculate and process special checks, file unemployment forms, process new hire paperwork, and create summary reports for management. Utilize automated time and attendance software and programs in day-to-day operations. Handle general inquiries regarding payroll, benefits, and time/attendance. Offer suggestion, advice and solutions regarding payroll procedures. Also, must be able to perform various human resources duties in areas such as recruiting, employment, compensation, benefits, training, employee relations, or other special projects. Provide guidance on human resources operational issues, employment law, and develop new programs and initiatives to meet management needs.

The Payroll Assistant must follow and protect confidentiality of employee, payroll, human resource and company information. Must possess strong communication skills and must be able to complete work accurately and in a timely matter.

Human Resource Manager

Essential Duties and Responsibilities:

  • Gathering and examining timesheets to ensure validity.
  • Checking start and end times are entered for all days during pay period for all employees.
  • Checking paid time off, vacation days and any sick leave taken.
  • Ensuring compensation will be paid for overtime work and is calculated at the appropriate rate.
  • Confirming legally mandated and optional dedications have been processed correctly.
  • Ensuring all payroll information is accurately pulled from internal systems and internal files and entered correctly into payroll system.
  • Preparing and distributing hard copy or electronic paychecks.
  • Performing all tasks asked of by the Human Resource Manager to ensure that employees are compensated correctly and on time.
  • Address any payroll related issues.
  • Work to resolve any discrepancies in payments in a timely matter.
  • Strong data entry and math skills.
  • Capacity to multi task and keep track of numerous ongoing responsibilities in a timely matter or by deadlines.
  • Strong ability to follow and adhere to all ethical guidelines, federal and state legislations and company procedures, including but not limited to confidentiality and integrity.
  • Support and assist with human resources processes, including administering and monitoring trainings and tests and maintaining records and information.
  • Maintain and update employee information and records, including entering new hire data, employment and status change data, etc.
  • Posting job ads.
  • Provide orientation and assistance for new hires to the company.
  • Create, update and disperse company policies, processes and documents.
  • Assist with employee requests and inquiries regarding human resources issues, company rules and regulations.
  • Properly handle complaints and grievances by following company procedures.
  • Maintain employee confidentiality and protect operations by ensuring privacy for all human resource information.
  • Excellent organizational skills.
  • Knowledge of labor laws.
  • Strong communication skills, both written and verbal.
  • Strong collaboration skills, must be team player.
  • Any other duties and responsibilities asked of by the Human Resource Manager.

Abilities and Physical Requirements:

  • 3 years of related experience
  • ADP Experience a plus
  • Must be able to pass a drug test.
