The HR Coordinator has primary responsibility to provide guidance, advice, support, and assistance on human resources matters to leaders, employees, and others within their assigned zone. As a core member of the HR team, the role provides support to the HR community, business managers and employees to implement new local and centralized HR initiatives, build communication and assure involvement of key stakeholders.
ESSENTIAL JOB FUNCTIONS
Responsible for transactional support of HR programs, processes, implementations, and team in a variety of areas including employee programs, benefits enrollment, onboarding, acquisitions, events, workforce adjustments and more.
Answers HR incoming calls and e-mails.
Responsible for employee information input, reporting, modification, verification, and compliance. Assures confidentiality and accuracy of HR and employee related data at all times.
Responsible for ensuring external employment screening and background check systems (state and federal information) are compliant, accurate, timely and complete and that data is audited and maintained while maintaining a high level of confidentiality.
Identifies and corrects incomplete, improperly formatted and/or incorrect data through final review and approval of system workflow.
May be required to provide on-going support of Human Resource programs and events, including but not limited to scheduling, monitoring, and reporting on the effectiveness of the assigned area(s)
Aids HR team as well as employees, managers, and others within SMI regarding HR and employee related programs and initiatives.
May develop HR forms, templates, and documents and ensures completeness and accuracy of various HR forms.
Responsible for accurate and timely processing of HRIS data, transactional system entries from onboarding through termination and any necessary data changes through employment lifecycle. Runs regular and requested reports within HRIS in support of HR, Payroll and executive leader requests.
Primary responsibility for ensuring HR In-box is reviewed and inquiries are addressed and/or forwarded to the appropriate party for resolution in a timely fashion.
Aids HR members relative to HR systems processes and procedures, events, planning, and day to day activities.
Provides training to other HR team members as necessary on HR forms, templates, systems, programs, and initiatives. (internal to HR functionality).
Performs tasks to support the assigned area at the direction of a Zone HRBP
Serves as pivotal administrative member of the zone acquisition team, including travel to newly acquired facilities if necessary.
Compiles, maintains, and audits employment processes and records to ensure compliance with company policy and regulatory standards.
Ensure employee files are compliant, maintain/review/update completed job descriptions.
Exercises minimal independent judgment with direction from supervisor.
Acts as liaison with corporate payroll department (and UKG/Kronos as necessary) to resolve paycheck disputes.
May provide as conduit in support of employees and leaders in all HR areas including Benefits, Learning and Development, Recruitment, HRIS, and other functional areas as needed.
Ensures that all required federal postings are maintained and up to date on company bulletin boards.
Assists with administrative process of employee enrollment & changes.
Assist with employee inquiries, coordinates open enrollment process/communication annually.
Performs other duties and special projects as assigned by the CHRO, and Zone HRBP.
SKILLS and ABILITIES
- Ability to keep pace in a fast moving and dynamic business environment for a rapidly growing organization.
- Experience in working with and supporting teams in a field & corporate settings, multi-site, and multi-state locations.
- Highly proficient in Microsoft Word, Excel, HRIS, and PowerPoint
- Ability to travel up to 10% within designed field locations.
- Basic knowledge of state and local laws as it relates to FMLA, ADA, EEO, FLSA, and other applicable regulations is required. Must possess high ethical standards.
- Prior experience with HR Information systems and UltiPro payroll software is desired, but not mandatory.
- Ultimate Software HRIS (UltiPro) Experience
- Requires interpersonal skills and ability to communicate effectively with staff
- Working knowledge of Human Resource functions
- Able to demonstrate problem-solving skills, organizational skills, and attention to detail.
- Must have strong verbal and written communication skills.
- Manage pre-employment verifications including background checks, drug tests, and other eligibility checks.
- Handle employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
- Ensure compliance with local, state, and federal employment law; maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources and employment law
EDUCATION AND EXPERIENCE
- Bachelor’s degree or equivalent work experience
- 1-3 years of human resource experience
PHYSICAL DEMANDS: This position may require duties including lifting and carrying up to 40 pounds, sitting for prolonged periods of time, with frequent standing and walking.
DRESS ATTIRE: Business Casual or scrubs dependent on department
