The SwRI Contracts Department works in an administrative role for the Institute. It is instrumental in the proposal, negotiation, and administrative phases of the Institute's programs and projects by providing "cradle-to-grave" support of contract administration activities.
Role
Objectives of this Role:
- Provide direct clerical support to a minimum of two Contract Specialists supporting at least two separate technical divisions.
- Act in an alternate capacity to other clerical support staff supporting other divisions as the need arises.
- Prepare proposals and agreements using Office 365 and basic templates in addition to independent composition of various letters utilizing correct grammar and formatting skills.
- Maintain primarily electronic project and proposal files using SharePoint and saving these documents using approved naming conventions.
- May also require the creation and maintenance of hard copy files.
- Learn department specific software that will generate daily tasks.
- Learn to recognize which proposals require specific statements for insert/replacement in template.
- Develop and submit grammatically correct emails to internal and external clients and staff.
- As a representative of SwRI, it is imperative that this task be routinely performed in a correct and proper manner.
- Work closely in a team environment but also work well independently and under pressure from deadline driven requirements.
- Requires a high school diploma or equivalent. Business coursework and/or training highly desirable.
- 3-5 years: Clerical and customer service experience.
- Requires excellent written and verbal communication skills; strong organizational skills and the ability to meet fast paced deadlines.
- Ability to independently multi-task and work on multiple projects at once with mandatory deadlines and frequent interruptions (primarily from email and system generated task alerts).
- Requires a sound working knowledge of Word and Adobe as draft documents/redlines are prepared and there is often a need to convert PDF to Word. Hybrid work schedule with specific onsite days; 8-5 work day.
- A valid/clear driver's license is required.
