We are seeking an experienced Electronic Records Management Specialist (Intermediate Level) to support the lifecycle management of electronic records across enterprise systems. The ERM Specialist will assist with the classification, capture, maintenance, archiving, and disposition of records in accordance with best practices and regulatory requirements. The role involves working with document and records management systems (e.g., EMC Documentum, Laserfiche, Captiva), providing input on workflow design, metadata capture, and retention strategies, and ensuring systems support the full spectrum of recordkeeping and compliance needs.
The Electronic Records Management Specialist (Intermediate Level) will be responsible for tasks including but not limited to:
Implement and maintain electronic records management solutions using commercial and/or open-source platforms
Analyze, define, and document business processes for record creation, maintenance, and disposition
Apply retention schedules and metadata standards to ensure compliance and audit readiness
Participate in the configuration and administration of ERM tools such as Documentum, Captiva, and Laserfiche
Develop and deliver user documentation and training on ERM procedures
Collaborate with business stakeholders, IT, and legal/compliance teams to ensure records practices align with governance and policy requirements
Support imaging and digitization efforts and integrate ERM capabilities into enterprise workflows
Assist with audits, records migration, system upgrades, and records destruction procedures
Expertise and/or Relevant Experience:
Mandatory Qualifications & Experience - Application Developer / Software Engineer (Senior Level)
M1. 2–4 years of experience in electronic records or document management roles
M2. Hands-on experience with ERM systems such as EMC Documentum, Captiva, or Laserfiche
M3. Strong understanding of records lifecycle management including retention and disposition
M4. Knowledge of metadata standards, taxonomies, and classification structures for electronic content
M5. Familiarity with digitization, imaging, and archiving practices
M6. Ability to analyze and document workflows related to electronic records
Desirable Qualifications - Application Developer / Software Engineer (Senior Level)
D1. Experience with open-source document management platforms
D2. Knowledge of government or public sector records retention policies and legal frameworks
D3. Familiarity with federal/state records compliance standards (e.g., NARA, FOIA, FERPA, HIPAA
D4. Understanding of data privacy and security as it relates to recordkeeping
D5. Certification in records management (e.g., CRM, ICRM, or AIIM certifications)
