Your Opportunity
We have an exciting opportunity as an Office Manager, Puget Sound to join our Bellevue, Lynnwood and Seattle offices. The Office Manager is responsible for ensuring the seamless management of the office.
The candidate must be able to organize and prioritize multiple tasks, effectively manage through stressful situations, and consistently make effective, high quality decisions; must understand complex relationships, develop open, effective, and consistent communication with the managing leaders and staff. The candidate will have overall responsibility for the office including the maintenance and operations, workplace safety, and contract services.
Your Key Responsibilities
- Develop and manage operating budgets, proactively track variances, and manage within target
- Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities
- Ensure all site management and operations practices comply with Stantec standards
- Proactively manage all facility services in standard processes and procedures
- Interact with property management to address facilities issues
- Primary contact for property management – available on call 24/7 as needed for emergencies
- Implement preventive, ongoing, and anticipated maintenance/repair programs
- Participate in monthly audit to ensure maintenance tasks are completed on time
- Conduct frequent meetings with the office leadership and with all staff to convey office, region, and company information
- Records Management Contact: Provide archiving materials, i.e. boxes, forms, labels; enter new archive into system creating database; maintain records destruction schedule; process archive pick-ups and box retrieval requests through Iron Mountain
- Timecard Administrator: Enter, correct, and submit timecards for various employees, as needed
- Participate in safety committee
- Manage new employee orientation and training
- Supervise Administrative Assistants in Bellevue, Lynnwood and Seattle offices
- Various other administrative tasks as assigned by the Regional Manager to keep the office running smoothly
Qualifications

- Superior client relationship management skills
- Strong supervisory and people management skills
- Ability to plan and manage financials within budget and time constraints
- Excellent interpersonal, communication, and organizational skills
- Understanding commercial leases and routine accounting methods
- Computer proficiency with MS Office
- Detail oriented with the ability to multitask and prioritize tasks
- Strong leadership, financial management, and team building skills
- Leadership experience is essential; customer service centric approach to working with internal clients
- Enthusiastic demeanor, collaborative approach, and solutions oriented
Education and Experience
- Bachelor's degree or equivalent operations or property management experience.
- 5 years of office operations or administrative experience
- Experience with managing multiple vendors and small capital projects
- Previous experience in office operations or administration
