The Utah Department of Transportation (UDOT) is looking for a proactive and detail-oriented professional to join our Region Four team as an Office Specialist II. You will provide critical administrative, financial, and organizational support to our management team and the public. 

Principle Duties
Executive & Administrative Support
  • Provide high-level administrative support to the Region Four Management Team, including managing calendars, scheduling travel (vehicles/hotels), and coordinating complex meeting logistics.
  • Prepare agendas, facilitate monthly staff and Preconstruction Manager meetings, and ensure accurate minute-taking and task follow-up.
  • Draft, edit, and proofread technical reports, news releases, brochures, and professional correspondence for accuracy and impact.
  • Manage essential office operations: ordering supplies, maintaining flag protocols, managing key card access, and overseeing mail distribution.
Public Relations & Customer Experience
  • Serve as the primary point of contact for patrons, managing the reception area and responding to inquiries with a focus on exceptional service.
  • Act as a liaison between the Region office, consulting firms, and other state agencies.
  • Assist in the strategic development and execution of the Department’s public outreach initiatives and creative projects.
Financial & Data Analysis
  • Analyze and summarize data for critical regional reports (T-65, P-Card, Fleet Maintenance).
  • Monitor and interpret results to provide actionable recommendations to management.
  • Oversee internal accounts and programs, including the "Extra Mile" recognition program.
Culture & Facilities Coordination
  • Lead the coordination of regional events, including career achievement awards, retirement lunches, service projects, and staff picnics.
  • Support warehouse operations and manage on-site amenities to ensure a smooth-running work environment.
Qualifications
The ideal candidate for this position is someone who:
  • Experienced: Has 3 years of experience working in a professional office or administrative environment.
  • Tech-Savvy: Demonstrates high proficiency in both G Suite (Google Drive, Sheets, Docs) and Microsoft Office, along with experience in Adobe Professional and video conferencing platforms.
  • A Strong Communicator: Possesses the ability to write clearly and speak professionally with diverse stakeholders.
  • Adaptable: Exercises sound independent judgment and remains resourceful under pressure or changing conditions.
  • Interpersonally Skilled: Displays sensitivity, tact, and professionalism when working with various personality types.
Preferred Qualifications
Preference may be given to applicants with:
  • Prior experience or knowledges within the Transportation or Civil Engineering industry.
  • A background in public relations or communications.

  • Risks found in the typical office setting, which is adequately lighted, heated, and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
  • Employee may be reassigned to a different location as deemed necessary by the Region Director/Group Leader.
