Job Summary:
The Administrative Assistant plays a vital role in supporting the Director of Human Resources by providing high-level administrative assistance and ensuring the HR office operates smoothly, efficiently, and professionally. This position serves as a key point of contact within the department, contributing to a welcoming and organized office environment while assisting with a wide range of HR-related tasks, employee engagement initiatives, and operational logistics.
Essential Duties and Responsibilities:
- Provide comprehensive administrative support to the Director of Human Resources, including calendar management, task coordination, and document preparation.
- Organize and coordinate company-sponsored lunches, staff appreciation events, and other internal gatherings.
- Assist in the planning, logistics, and execution of special company events and employee engagement activities.
- Manage inventory and ordering of office supplies, beverages, snacks, and other workplace essentials.
- Perform general administrative tasks such as typing, editing, filing, scanning, and data entry.
- Record and distribute accurate meeting minutes and follow-up action items.
- Draft, format, and distribute internal communications, including company-wide emails and HR-related documents.
- Compile, organize, and maintain reports, contracts, and other confidential HR documentation.
- Support wellness initiatives and programs that promote employee health and well-being.
- Serve as a proactive ambassador for employee engagement, fostering a positive and inclusive workplace culture.
- Coordinate intra-office moves, including workspace assignments, office relocations, and parking allocations.
- Ensure the office environment, including break rooms and common areas, is clean, organized, and visually appealing.
- Act as the primary liaison with building property management and external vendors for services such as pest control, HVAC, janitorial, recycling, security systems, and access control.
- Maintain strong, professional relationships with property management and service vendors to ensure timely and effective resolution of office-related issues.
- Build and sustain productive working relationships with staff across all departments.
- Demonstrate meticulous attention to detail in all communications, deliverables, and administrative tasks, ensuring accuracy and professionalism.
- Occasionally assist with front desk duties, including answering phones and greeting visitors.
- Uphold compliance with all applicable federal regulations, including but not limited to the Bank Secrecy Act (BSA) and Anti-Money Laundering (AML) policies. Complete annual BSA training as required by SunWest Credit Union.
- Perform other duties and special projects as assigned to support the HR department and overall organizational goals.
Education and/or Work Experience Requirements:
- High school diploma or equivalent is required; an associate's degree is preferred.
- Valid driver's license required.
- Minimum of 2 years of administrative experience supporting managers, teams, or departments.
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) is required, with a willingness to learn and adapt to new applications and technologies.
- Familiarity with Adobe applications (such as Acrobat, Illustrator, or InDesign) is preferred; ability to learn new tools as needed.
- Demonstrated reliability, punctuality, and ability to work independently with minimal supervision.
- Strong interpersonal skills with the ability to build positive relationships across all levels of the organization.
- Professional demeanor, appearance, and presence, with excellent verbal and written communication skills.
- Exceptional organizational and time management abilities, with a proven track record of managing multiple priorities effectively.
- High attention to detail and accuracy in all aspects of work.

Physical Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivy standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
- Must be able to lift and carry up to 20 lbs.
- Must be able to listen and speak clearly on the telephone.
