Job Description
Provide administrative support to the associate deans and staff in the VPA Office of Academic Affairs. Support the advancement of research and creative scholarship in VPA in alignment with its strategic plan.

Qualifications
  • Bachelor’s degree required.
  • Minimum 2-4 years of experience in a college/university setting desirable.
  • Broad knowledge of external research and sponsored programs funding.
  • Ability to collaborate and participate with university faculty and staff.
  • Strong organizational, time management and communication (oral and written) skills required.

Job Specific Qualifications
  • Candidate should be organized, detail-oriented, and have strong communication skills.
  • Computer facility and experience with MS tools required.
  • Knowledge of Peoplesoft and Zoom/equivalent a plus.

Responsibilities
  • Provide administrative support to the associate deans in the VPA Office of Academic Affairs.
  • Assist with day-to-day operations of the academic affairs business requiring discretion and confidentiality in a fast-paced work environment.
  • Coordinate the office’s events: scheduling space, catering, and publicity.
  • Assist with the promotion and tenure processes including third year reviews: scheduling meetings, maintaining, and organizing faculty materials, and drafting faculty continuation letters.
  • Manage the collection and storage of annual faculty report and recommendations, part-time instructor evaluations, course syllabi, and faculty CV updates.
  • Assist the VPA councils with agenda preparation, announcements of meeting days/times, virtual meeting management, recording and archiving of minutes.
  • Provide support to other Academic Affairs processes including recording faculty searches/appointment letters, performing credit card statement reconciliations, processing reimbursement requests.
  • Generate appropriate reports as needed, including data, content and relevant information for self-studies and accreditation requirements within the college.
  • Maintain the digital storage of files and manage the ordering of office supplies.
  • Data entry for part-time faculty search and hiring proposals and conversion of digital letters from email to PDF format.
  • Generate reports and provide back up support for the monitoring of course enrollments and flagging of under-enrolled courses.
  • Work with the Associate Dean of Research to help identify and share intramural and extramural funding opportunities.
  • Manage multiple internal VPA grant awards.
  • Utilize a broad knowledge of external research and sponsored programs funding to collaborate with faculty on the proper documentation for grant preparation, submission, reports, and post-award grant execution.
  • Act as the primary liaison with budget staff to facilitate funded projects.
  • Support VPA’s associate dean of research in developing communication strategies to increase the visibility research and creative activities for both faculty and students in collaboration with VPA’s office of communication.
  • Other duties as assigned.
