We are seeking an experienced Accounting Specialist for our client to manage a variety of financial tasks using QuickBooks Online (QBO) and several invoicing platforms (Textura, ProCore, Project Teams, DC Vendor Portal). This role requires meticulous attention to detail, effective communication with clients and contractors, and a proactive approach to financial management.
Key Responsibilities:
QuickBooks Online Management:
- Accounts Payable:
- Receive invoices via email
- Enter bills and assign them to appropriate projects
- Track retainage amounts per project
- Accounts Receivable:
- Apply payments to corresponding invoices
- Monitor aging accounts
- Prepare and send client statements
- Banking:
- Process remote deposits and check writing
- Match and enter transactions in QBO
- Perform monthly statement reconciliations
- Transfer funds and manage bank balances
- Address Protect Pay entry exceptions
- Payroll Monitoring (QB Payroll Elite):
- Verify payroll tax payments and tax return submissions
- Ensure timely 401K contributions
- Conduct annual payroll audit of workers' compensation
- Time Entry Monitoring:
- Set up new client profiles as needed
- Ensure accurate time entries
- Invoicing:
- Coordinate with client/contractor representatives
- Enter invoices on designated platforms
- Prepare invoicing documents (Release of Lien, AIA G702/G703) and schedules
- Manage document notarization
- Accounts Payable:
Reporting and Filing:
- Generate weekly reports covering accounts payable, accounts receivable, time entries, and cash position
- Handle quarterly sales and use tax filings and quarterly estimated payments
Interface and Coordination:
- Collaborate with CPAs, insurance companies (for renewals and Certificates of Insurance), and HR
- Support HR tasks including new employee setup (W-4, I-9, Direct Deposit, New Hire reports), maintaining the Employee Manual, and interfacing with the MAP 401K Administrator (annual census, employee list maintenance, safe harbor/profit sharing processing)
Qualifications:
- Proficiency in QuickBooks Online, especially in accounts payable, receivable, and banking operations
- Experience with payroll monitoring and tax filings
- Familiarity with multiple invoicing platforms
- Excellent organizational and communication skills
- Ability to manage multiple tasks and meet deadlines
