The Community Group (TCG) is a private, nonprofit organization creating opportunities through education since 1970. TCG manages a range of programs, including a network of early childhood and out-of-school time programs, a network of charter and district public schools, consulting and training programs, and a child care resource and referral program, Child Care Circuit.
Role
The Administrative Assistant is responsible for managing customers’ ledger accounts. Provide outstanding customer service and back up to the program Support Specialists. This position is FLSA Non-Exempt and reports to the Program Support Manager.
Duties
· Perform various actions, including; collecting parent fees; making ledger adjustments; processing payments in our database system; preparing daily cash receipts batches (including EFT/DEB automatic payments)
· Maintain Kinderwait; adding, pulling and terming families
· Recruiting for program waitlist and assist with filling slot openings
· Provides back up when needed to the Program Support Specialists
· Create and manage weekly ledger reports; work with programs to ensure compliance with payments and deposits
· Create and mail nonpayment warning letters and terminations for families
· Create and mail reassessment letters for families
· Maintain Storage of termed files
· Assist with main line phone calls and transfer to appropriate extension;
· Assist in the Interoffice mail stamping and deliver to the post office
· Assist in the creation of a positive atmosphere that boosts the self-esteem and general self-concept of all members;
· Maintain strict confidentiality according to agency and state policies;
· Maintain open communication with parents, co-workers, and programs;
· Maintain a professional manner at all time with parents, co-workers, and programs;
· Attend regularly scheduled staff meetings; and
· May be assigned other duties as needed by supervisor
Qualifications
· High School Diploma is required;
· Associate’s Degree in related field is preferred;
· Demonstrated customer service orientation;
· Strong computer Skills (word, excel, outlook, other –EZCARE, CCFA, KINDERWAIT);
· Excellent verbal and written communication skills;
· Strong math & logic skills;
· Works well in a team environment and independently when needed;
· Flexibility, patience and a sense of humor essential;
