Job Summary:
We are seeking a highly motivated and detail-oriented Senior Indirect Tax Consultant to join our growing tax team. The ideal candidate will have extensive experience in Sales and Use Tax compliance and recovery, with a proactive mindset and strong organizational skills. This individual will work closely with both internal departments and newly acquired entities to analyze tax data, ensure compliance, and identify and recover overpaid taxes.
Key Responsibilities:
- Prepare and ensure timely mailing of all tax payments via USPS (includes label creation, envelope preparation, certified mail processing, and documentation tracking).
- Pull reports from ERP systems and save to designated network locations.
- Monitor and follow up on outstanding or missing tax payments.
- Assist in requesting vendor waivers for Sales Tax refunds; maintain tracking spreadsheets and verify spend accuracy.
- Monitor the Indirect Tax mailbox; respond to exemption certificate requests and file documentation to shared drives.
- Upload exemption certificates into Vertex Certificate Manager.
- Support indirect tax audits by pulling invoice copies (manual and ERP-based), contacting vendors, and searching accrual files to minimize audit findings.
- Help build and maintain department documentation and process repository using OneNote.
- Quantify and process sales tax refund claims in multiple states (e.g., GA, IL, NC) related to Americold and its acquisitions:
- Compare invoices between entities to identify taxable discrepancies.
- Collect supporting documents and submit refund claims to the appropriate state authorities.
- Collaborate cross-functionally with internal departments and acquired companies to validate exemption status and maximize refund opportunities.
- Research and confirm indirect tax exemptions by state; apply findings to historical invoices for refund recovery (can go back up to 3 years).
Qualifications:
Required:
- 3–5 years of Sales & Use Tax experience.
- Experience with tax technology platforms (Vertex required; OneSource preferred).
- Advanced Excel skills (pivot tables, vlookups, data management).
- Self-starter with strong initiative and problem-solving ability.
- Experience with system implementation support (e.g., account mapping post-ERP implementation).
Preferred:
- Bachelor's degree in Accounting, Finance, or a related field (non-business degrees will be considered).
- Public accounting experience.
- Oracle ERP experience.
- Warehousing, supply chain, or logistics industry experience.
- Property Tax knowledge is a plus.
