What are the responsibilities and job description for the Office Coordinator, Sacramento position at The Nature Conservancy?

The Office Coordinator will be responsible for a variety of business activities in support of TNC’s California chapter. This position is responsible for partnering with the Building and Operations Manager for the day-to-day facilities administration/maintenance and reception duties at the California headquarters office of The Nature Conservancy, located in Sacramento.
The Office Coordinator will be in the office on a daily basis and will spend a majority of their day at the front reception area to provide a welcoming environment to guests and staff, and maintain a secure presence in the main lobby/entrance of our downtown Sacramento office. They will answer the main phone line, help manage seating capacity, facilitate kitchen upkeep, coordinate facility management requests for general maintenance/repairs, assist with meeting support requests, perform mailroom operations, order/stock office and kitchen supplies, maintain the appearance of office common areas and conference rooms, and other general office duties. They will use available systems and resources to maintain, track, and research data, and to produce and review reports. They will apply established processes and practices in order to improve effectiveness and to document program procedures for reference by staff. They will coordinate activities with multiple variables, set realistic deadlines and manage the timeline. The Office Coordinator may handle inquiries about business unit activities and assist in the development of program materials and correspondence. They will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. The Office Coordinator may communicate on behalf of the organization with internal and external sources, including staff, donors, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of program.
This position may include limited travel. Overtime may be required but would be scheduled in advance (and is a rare occurrence). The work environment involves only infrequent exposure to disagreeable elements and minor physical activity.

The starting pay for this position is $30.17 per hour w/a 35-hour work week. This rate only applies to candidates whose country of employment is the USA. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. What You’ll Bring
- Bachelor’s degree and 1-year experience or equivalent combination.
- Experience coordinating and managing multiple tasks with a high level of attention to detail.
- Experience performing multiple administrative processes.
- Experience working and communicating with diverse groups of people.
- Experience maintaining files, processing paperwork, data entry, or related;
- Experience working with MS Office software;
- Database skills, including managing and tracking data, and producing reports;
- Experience in business writing, editing, and proofreading;
- Strong organizational skills and meticulous attention to detail;
- Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated;
- Problem solving and research skills;
- Excellent customer service skills and focus.
