The Scheduling Lead provides guidance and direction to Centralized Scheduling (CS) employees to ensure the smooth functioning of daily operations. This position provides leadership and support to all CS employees, acting as a role model in upholding the core values of The Steadman Clinic. This position includes duties which facilitate the work of the physicians and clinical staff in a goal oriented manner. The CS Lead takes initiative in carrying out quality improvement initiatives and directives as well as recurring assignments without specific instruction, referring all deviations and problems to the Medical Office Manager.
Primary Job Responsibilities:
- Provide guidance and direction to CS employees, including setting performance standards and delegation of tasks.
- Work with Medical Office Manager (MOM) to establish short- and long-term goals and create action plans and timelines with your team to achieve these goals.
- Onboard new hires and oversee training and competencies.
- Assist MOM in creating, reviewing, and implementing department policies and procedures.
- In collaboration with MOM act as a liaison for the clinical staff, it is essential to work in a collaborative and supportive inner with all clinical team members.
- Handle difficult patient situations and complaints, reporting them to MOD for resolution and recovery.
- Fill in as necessary during times of attrition.
- Periodically reviews departmental processes to ensure efficiency and accuracy.
- Schedule CS staff, ensuring all positions are covered when employees are out sick, on vacation or upon termination.
- Discuss all CS employee concerns with MOM to help provide solutions and ensure proper communication.
- Oversee & approve time sheets for CS employees and handle time off requests.
- Generate and manage correspondences as directed.
- Demonstrate knowledge and understanding of the Health Information Portability and Accountability Act (HIPAA).
- Maintain confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic or verbal form.
Requirements
Knowledge, Experience, and Skill Requirements:
- High School diploma or GED required.
- At least two years of scheduling experience in a medical field preferred.
- Supervisory experience preferred.
- Knowledge of Microsoft computer applications.
- Ability to fluently speak and understand English.
- Pleasant, courteous and supportive manner is required when handling patients in person or on the phone.
- Able to work in a fast paced environment and handle a variety of tasks simultaneously; ability to work with frequent interruptions.
- Excellent organization, communication (both written and verbal) and interpersonal skills required.
- Ability to provide coaching, constructive criticism, and support CS employees inquires.
- Must be able to handle sensitive and confidential information appropriately and represent The Steadman Clinic in a positive and professional manner at all times.
- Must be motivated, quality driven and passionate in your commitment to being a productive member of the team dedicated to providing optimum patient care.
- Must maintain a professional attitude towards patient and help build and maintain working relationships with other Steadman Clinic, Steadman Philippon Research Institute and other facility staff.
