JOB PURPOSE

The Client Administrative Associate is a valued member of the Seattle office. The primary responsibility is to provide support to the Seattle office concentrating on outstanding reception support, office coordination and client administrative support. The right candidate will be able to work in a small team environment with a can-do attitude, the ability to find a solution to every problem and the capability to multi-task.

ESSENTIAL FUNCTIONS

 

RECEPTION & OFFICE ADMINISTRATION

Answering phones; meet & greet all visitors

Kitchen & common space preparation/organization

Ordering & Management of supplies (office & kitchen)

CRM management and entry

Expense and invoice processing

Incoming and outgoing mail including FEDEX, UPS

Client presentation preparation and book binding (PowerPoint)

Client and COI gifting coordination

Research, coordinate and support specific Seattle marketing events

CLIENT ADMINISTRATIVE ASSOCIATE

Run all daily office reports for Advisory Staff

13.    

Assist with daily account transactions such as wire and cash transfers, ACH disbursements, bill paying, fund redemptions and purchases, and check deposits

Monitor transactions for completion and accuracy

Document scanning (Laserfiche) and electronic filing

Perform special projects and additional tasks as assigned

DESIRED SKILLS & EXPERIENCE

  • Understanding of trust accounting and/or estate planning concepts preferred but not essential
  • Superior skills and experience with Microsoft Office, especially Word, Excel, and PowerPoint
  • Excellent written and oral communication skills
  • Superior organizational skills with ability to multi-task and to manage and prioritize multiple projects and competing deadlines.
  • General office administration and clerical experience
  • Excellent attention to detail with the ability to exercise independent judgment.
  • Aptitude to understand and perform basic mathematical calculations such as fee calculations, and other percentage-based calculations.
  • Ability to learn new processes and programs and desire to grow with the company.

DESIRED QUALIFICATIONS

  • Bachelor’s degree preferred.
  • Industry certification and/or a willingness to continue education an advantage (CTFA or CFP)

COMPENSATION

Base salary range

$55,000 - $75,000 annually

Salary may vary depending on job-related factors including, but not limited to, skills and experience. Full-time employees may be eligible for a comprehensive benefits package that includes: medical, dental and vision coverage, 401(k), life insurance, paid time off and a Wellness Program. Annual bonus, incentive pay and/or equity may also apply depending upon the role.
