THE JOB

The Product Operations Lead is responsible for overseeing and optimizing Thesis’ use of Airtable as our singular agency management tool. This role involves coordinating and streamlining processes, facilitating cross-functional collaboration, and ensuring efficient project management within the team. This role is responsible for supporting and troubleshooting while ensuring smooth usage of the platform and addressing any issues or challenges faced by the team, who bring diverse needs and experiences spanning all areas of Digital Marketing and Agency Operations. The Product Operations Lead is also tasked with staying on top of new Airtable features and ensuring we’re staying at the forefront of the industry with our use of Airtable. The Product Operations Lead may also support client-facing partnerships in the realm of Airtable Consulting as needed.


ROLES & RESPONSIBILITIES

  • Be the Expert: Be the Airtable expert at Thesis who can keep a constant pulse on the latest product availability to ensure that our teams have what they need to stay ahead of our client’s needs and competition. Interpret product updates, apply them to existing processes, and prepare wide-scale training as needed.
  • Cultivate Efficiency: Identify and analyze pain points in current Airtable usage and workflows and propose and implement improvements to optimize productivity.
  • Manage & Orchestrate Training: Develop and maintain baseline training materials and ongoing education to support Airtable’s use within the organization.
  • Establish Best Practices: Inform best practices and standard operating procedures as well as maintaining an up-to-date documentation repository for Airtable, including FAQs, troubleshooting guides, and best practices.
  • Client Savvy: Ability to solve clients’ problems using Airtable when the opportunities arise through ongoing client relationship management, base building, change management, and ongoing support.

EDUCATION & EXPERIENCE

  • 6 years experience working with Airtable at an expert level — with a proven track record of solving diverse and complex problems using Airtable.
  • Exceptional ability to recognize opportunities to improve workflows through the implementation of new tools. The ability to successfully communicate and motivate stakeholders is critical.
  • Experience working closely with multidisciplinary teams and various leadership levels to ensure that solutions align with all department needs.
  • Experience creating accessible learning and training materials for applications, software, and programs, and leading teams through training as needed.
  • Experience planning and executing against company-wide operational initiatives, with an ability to contextualize and simplify complex processes for unfamiliar teams.
  • Expert knowledge of Airtable, Asana, Harvest, Slack, Notion and other project management, time tracking, communication and knowledge management tools.
  • Deep knowledge of general business tools, such as Slack, Microsoft Office, Google Suite, etc.
  • Experience in workflow optimization, including but not limited to process development and improvement, information, and team architecture.

KNOWLEDGE & SKILLS

  • Excellent strategic thinking and problem-solving abilities, with a focus on operational efficiency and scalability.
  • Exceptional interpersonal skills and the ability to build trusted relationships with senior leaders, internal teams, and clients.
  • Ability to visualize and contextualize processes through process mapping, and communicating that process to unfamiliar teams.
  • Ease in building relationships with both internal and external clients/stakeholders.
  • Detail-oriented with a focus on accuracy and quality in documentation and process management.
  • Ability to adapt to a fast-paced, dynamic work environment and manage multiple priorities effectively.
  • Knowledge of digital marketing operations and workflows is a plus.


RELATIONSHIPS

  • This position reports to the Head of Operations and has no direct reports, but may in the future.
  • Familiarity with other relevant tools such as Jira, Asana, or Trello is advantageous.
