Position Summary
The Regulatory Compliance Administrative Assistant will support active and onboarding pilots with scheduling new and recurrent type rating courses with FSI. This role will process PRIA requests, collect and maintain the status of all pilot documents, and process offboarding for all pilots. The Regulatory Compliance Administrative Assistant will need to have a strong understanding of Part 135 regulations and support internal audits of regulatory functions.
Duties and Responsibilities
- Proactively reserve FSI training courses under Thrive Aviation for onboarding and active pilots type rating training.
- Maintaining accurate and complete pilot records in alignment with FAA requirements and company policy.
- Processing and issuing of Known Crew Member badges
- Must have knowledge of national and international FAA regulations.
- Support for Director of Operations and Chief Pilot for various compliance and/or pilot regulation requests.
- Coordinate onboarding of new pilots in partnership with the People & Culture and Flight Support teams by managing pilot files, documents, processing PRIA, and activating online CTS training.
- Coordinate offboarding of pilots in partnership with the People & Culture team
- Update, create, edit, and maintain pilot Training Repayment Agreements
- Track and manage active pilot certificates, documents, and training agreements for expirations.

Physical Requirements

While performing the duties of this job, the employee is regularly required to sit; use hands to finger and required to reach with hands and arms. There is no significant standing, walking, climbing, kneeling, reaching, handling, pushing, and pulling. The person in this position needs to be able to move about inside the office to access file cabinets, office machinery, etc. There is a constant operation of a telephone and computer. The employee may be lifting up to 35 lbs. Specific vision abilities required by this job include close vision and ability to adjust and focus.
Experience and Qualifications
The most successful candidate in the position will meet most, if not all, of the following criteria.
- Exceptional customer service skills
- Bachelor’s degree from an accredited four-year university with a focus in Aviation, Business Management, or applicable field is preferred
- 3 – 5 years of Part 135 Aviation experience is desired but not required
- Knowledge of FAA regulations as well as international flight regulations is desirable
- Ability to analyze and solve problems in a fast-paced environment
- Strong organization and communication skills with a high level of detail
- Proficiency with Microsoft software applications (Access, Excel, PowerPoint, Project, Word and Outlook).
- Must have excellent analytical skills and strong decision-making skills.
- Excellent oral/written communication, interpersonal skills and problem resolution skills are required.
