Secretary to the Planning Board
Town of East Hampton- Secretary to the Planning Board. The annual salary is $65,000 to $70,000, commensurate with experience, for a 40-hour work week.
The Secretary to the Planning Board reports to the Town Planning Director and provides support to the board members and the public to assist with daily operations. The employee is responsible for maintaining records, communicating with the public, preparing documents for board members and arranging weekly board meetings, coordinating with local newspaper regarding hearing notices and with LTV to schedule weekly Zoom meetings, and preparing legal resolutions based on templates.
The successful employee must have excellent communication skills and be extremely organized, is familiar with current office technology including Microsoft office and Outlook email, understands and meets all deadlines, and can work independently.
Responsibilities Include
The annual salary is $65,000 to $70,000, commensurate with relevant experience. Benefits include paid vacation and personal time, NYSHIP Empire Plan Health Care coverage, dental and vision coverage and enrollment in the New York State and Local Retirement System.

Qualifications
The minimum qualification for this position is graduation from a college with federally authorized accreditation or registration by NY State, or graduation from a standard senior high school or possession of a high school diploma and four (4) years of office experience. The Secretary to the Planning Board reports to the Town Planning Director and provides support to the board members and the public to assist with daily operations. Responsibilities Include
- Uses the Town’s current software to accept and perform preliminary reviews of digital and paper applications to ensure they are accurate and complete; routes all submissions to the appropriate internal contacts
- Suggests new procedures that streamline processes and enhance the efficient operation of the Planning Board
- Manages official digital and paper files and records of applications.
- Interfaces with members of the public and answers questions on processes, provides the requirements for the submission of applications and scheduling timelines, and responds to other general inquiries.
- Creates application packets for all members of the Planning Board and staff as required
- Attends night meetings, takes minutes, and assists in conducting those meetings
- Creates and submits legal notices for publication of notices in a timely manner and compliant with code mandated notice guidelines
- Instructs applicants of notice requirements
- Creates and/or reviews resolutions pertaining to the Planning Board’s determinations; files these resolutions as directed by the department head
- Reviews applications for Building Permits and Certificates of Occupancy to determine compliance with administrative conditions
- Assists with research, provides copies of approved plans, resolutions and other records to support other staff
- Responds to FOIL requests and public inquiries regarding applications.
- May supervise part-time office assistant or seasonal other in performance of these tasks as requested by the department head.
- Does related work as required
