Staff Accountant
FINANCE DEPARTMENT – Johnston, RI
(Full-Time; 40 hours, M-F)
We are seeking a Staff Accountant who performs work related to, but not limited to assisting the Finance staff in the preparation of monthly grant reports, grant/ contract invoices, and the maintenance of accurate accounting records for cash, accounts receivable, fixed assets, and accounts payable. Perform a variety of clerical, analytical, bookkeeping, and accounting tasks and reconciliations, etc. in accordance with general accepted accounting principles, and funding source guidelines and requirements. The Staff Accountant works under the supervision and guidance of the Chief Financial Officer (CFO) and/ or another designated senior member of the Finance Team.
Responsibilities include:
- Reconciliation of balance sheet balances each month to appropriate supporting detail, ensuring the integrity and accuracy of financial data in accordance with generally accepted accounting principles. Follow up on problems detected during the reconciliation and month-end process through to final resolution.
- Reconciliation of bank and investment accounts.
- Reconciliation of credit card statements and ensuring all charges are properly approved and documented.
- Assist/ Process Accounts Payable invoices & W-9 verification for new vendors
- Assist/ Process weekly Accounts Payable checks for signature & mailing.
- Prepare monthly journal entries as needed for CFO/ Senior Accountant; advise of potential problems with documents being processed.
- Review monthly Grant AR Aging Reports for past due balances and follow up with funding sources for payment and resolution.
- Prepare timely Grant billings (invoices) for reimbursement of expenditures from various funding sources with all required documentation as required by the terms and conditions of the Grantor.
- Assist/ prepare annual departmental budgets and/or individual grant budgets.
- Monitor budgets vs. actual expenditures and notify Program Director(s) and CFO of any potential concerns regarding over/under spending trends.
- Enter program budgets into the accounting system and update them as necessary.
- Assist CFO as needed with all Audits and/ or Grantor Fiscal Site Reviews.
- Prepare & execute draw-down requests to meet necessary agency demands from the Payment Management System (PMS) for all federal grants.
- Perform other related tasks as needed to assist the Agency’s Finance Department satisfy Federal, State, and/ or other Funding Source requirements.
Qualifications, Skills, Knowledge:
- A Bachelor’s degree in Accounting, Finance, or a related field is required. Minimum of two years experience working in an accounting or finance role or an equivalent combination of education and experience.
- Demonstrated experience with non-profit accounting or grant management preferred. Community Action Agency experience is a plus.
- Excellent organizational, numerical, and financial analytic skills; and attention to detail.
- Strong understanding of basic accounting principles and procedures.
- The ability to set priorities, multi-task, problem solve, and manage multiple situations effectively to meet deadlines.
- Excellent communication skills (both oral and written); ability to resent information in a clear and concise manner. Listen intently, obtain clarification, and respond timely to questions.
- Proficient usage of accounting software (MIP Fund Accounting a plus) and Microsoft Office products, PowerPoint, and advanced Excel skills.
- Ability to work independently, as well as, part of the Team to accomplish departmental/ Agency goals.

PHYSICAL REQUIREMENTS
Ability to lift at least 25 pounds using proper lifting techniques. Ability to operate a computer and other office equipment such as a calculator, copier, and printer. Ability to remain in a stationary position 50% of the time as needed. Ability to bend, reach, file, sit, stand, and move around the facility. Ability to speak, hear, and communicate with clients, staff, and external representatives. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
