Position Overview:
We are seeking a dynamic and organized Gala Event Coordinator to support the planning and execution of our upcoming fundraising gala.
This role is ideal for someone who is passionate about community engagement, has strong communication skills, and thrives in a fast-paced, mission-driven environment.
Key Responsibilities:
* Community Outreach: Contact local businesses and organizations to solicit in-kind and monetary donations for the gala.
* Donor Relations: Build and maintain relationships with donors and sponsors, ensuring timely follow-up and acknowledgment.
* Online Portal Management: Maintain and update the event's online portal, including donation tracking, ticket sales, and sponsor listings.
* Collaboration: Work closely with the marketing and communications team to promote the event and highlight sponsors.
* Fundraising Strategy: Assist in developing and executing fundraising strategies to meet event goals.
* Administrative Support: Help with scheduling, vendor coordination, and other logistical tasks as needed.
* Donor and Guest Follow-Up: Send thank-you emails/letters to all attendees, donors, bidders, sponsors, and volunteers. Ensure tax receipts are sent to those who made donations or won auction items.
* Auction Wrap-Up: Verify all auction payments have been collected. Coordinate item delivery or pickup for auction winners.
* Send thank-you letters to businesses/individuals who donated auction items.
Qualifications:
* Previous experience in fundraising, event planning, or nonprofit work preferred.
* Excellent verbal and written communication skills.
* Comfortable making cold calls and engaging with community stakeholders.
* Proficient with computers and online platforms (e.g., event management software, spreadsheets, email marketing tools).
* Highly organized, detail-oriented, and able to manage multiple tasks.
* Flexible schedule with availability to increase hours as the event approaches.

* Initial Commitment: ~16 hours per week
* Peak Period (Final Weeks Before Gala): Up to 30-40 hours per week
