Job Description
UMSL is seeking the new leader of our Executive Events department, a unit within University Advancement. Our new leader is a proactive, organized and driven self-starter who wants to join a mission-focused organization focused on transforming lives. The Director of Executive Events will work directly with the Chancellor and other senior executives to lead colleagues in planning and executing events ranging from our large, signature events such as Commencement to smaller advancement events. Working side-by-side with our senior leadership team, this role requires excellent communication and event-planning skills along with the ability to define project milestones and coordinate stakeholders to ensure a successful event that meets organizational goals and expectations.
Leveraging their deep expertise, the Director of Executive Events balances logistics, financial planning, and vendor management duties with creativity and insight. They should excel at multitasking and balancing big-picture concerns with focused details.
Key Responsibilities:
Communication and Event Management
o Provides frequent and robust communications to internal and external stakeholders
o Collaborates across campus constituencies
o Manages a diverse variety of events, ranging from small dinners to large, campus-wide events
o Leads the creation, implementation and execution of events from ideation to completion
Office Leadership
o Manages the Executive Events office, creating policies and procedures for day-to-day operations
o Selects, trains, leads, manages, mentors and evaluates staff
o Spearheads the campus VIP notification protocol system, campus event protocols process, and the commencement honorary degree process
o Serves as the campus resource on developing and maintaining event standards and protocols including social and event etiquette for all aspects of events
Strategic Planning
o Provides reports on events and for the strategic plan
o Reviews all executed events, creates summaries, tracks ROI, and reports to event stakeholders to determine best use of event engagement tools for continued success
o Thinks critically about events, their purpose, and how to improve delivery or make necessary changes for future growth
Fiscal Management
o Develops, manages and oversees complex event budgets
o Demonstrates knowledge in cost analysis and drafting budget proposals with skill in monitoring expenditures for each event
Shift
Monday – Friday, 8 am – 5 pm with adjustments for evening and weekend event schedules.
Salary
Pay commensurate with education and experience.
Hiring Range: $70,000 - $80,000 per year
Grade: GGS-12
University Title: Director II – Event Services
Minimum Qualifications
A Bachelor's Degree or an equivalent combination of education and experience is necessary. Five years of experience from which comparable knowledge and skills can be acquired.
Preferred Qualifications
Applicants must be authorized to work in the United States. The University will not sponsor applicants for this position for employment visas.

- 5-7 years of experience with high-level events, ranging from 20-6,000 guests
- 5-7 years of supervisory experience
- Experience with university and/or non-profit events: Commencement, Campaign and Advancement events.
- Creative problem-solving and quick-thinking skills
- Strong writing and verbal skills
- Ability to maintain professional composure, even when under pressure
- Positive and focused professional team player
- Ability to work extended hours to meet the requirements of the position
