Job Description

Provides general/routine administrative and office support that includes a broad range of duties.
Focuses on developing and applying own skills.
Understands own tasks and has a basic understanding of work performed by immediate team.
Impacts the efficiency and accuracy of own work.
Greet and assist office visitors.
Compose, type, prepare and process correspondence, reports and other materials.
Review and verify information on departmental income and expense statement, and process credit card statement.
Schedule appointments/conferences for departmental staff.
Answer telephones, route calls, take messages, and answer routine department inquiries effectively.
Order general office supplies and maintain adequate stock of supplies.
Set up and maintain accurate files for all TRIO Student Support Services components, including files on program material, brochures, forms, student-parent resources, etc. Appropriate filing of documents for future reference is necessary.
Enter and maintain data in electronic files, databases and/or spreadsheets.
Complete Personnel Action forms and other employment forms accurately. Maintain accurate personnel files for all employees.
Assist with managing the program application process.
Assist with maintaining accurate records on program budgets, including maintaining files on all program expenditures.
Type and distribute minutes of departmental meetings.
Initiate and assist with scheduling and planning program events and/or activities.
Other duties as deemed necessary.

Shift

8:00am-5:00pm Monday - Friday

Minimum Qualifications

High school diploma or equivalent and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications

Applies learned skills to perform basic, repetitive activities for the job
Performs work with basic communication skills and an exchange of information
Ability to type at least 50 wpm is required.
Proficiency in Microsoft Office Suite is required (Outlook, Word, Excel, PowerPoint).
Proficiency in database management.
This position requires high attention to detail; ability to communicate with a diverse group of individuals in a professional and courteous manner.
Excellent written and oral communication skills is necessary.
Must demonstrate proficiency in proofreading.
Must be able to work some weekend and evening events during designated periods.
This employee is expected to be able to work independently on various projects to meet all deadlines. Some work will be spot checked by the supervisor for accuracy.
Employee must be able to initiate room reservations and/or other pertinent projects, ordering supplies and other programmatic details without prompting by the Director and other staff following appropriate training.

Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $12.36 - $17.23
Grade: GGS-005
