Brief Summary of Job Duties
Under the general supervision of the Data Science Initiative Director, is responsible for student affairs and academic personnel coordination for the Data Science (DS) Initiative. With Data Science Director and Business Officer, develops and prepares program curriculum plan for each academic year and prepares temporary sub-0 budget. Serves as the initial source of information, advises students regarding general and program information. Ensures grades are reported and develops and updates the Schedule of Classes and other publications. Requires knowledge of policy and procedures for undergraduate education. Serves as the departmental liaison with the Office of the Registrar on all matters pertaining to program courses grades and undergraduate records. Responsible for processing all employment transactions for DS academic employees, including lecturers, teaching assistants and undergraduate learning assistants, in UCPath. Serves as resource for andadvises DS Initiative Director on academic personnel policies including procedures covering academic recruitment, appointment, and advancement; compensation and salary administration; labor contracts; visa procurement; benefits; payroll. Provides administrative support for program coordination.
Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Knowledge and experience in college-level advising
- Strong administrative and organizational skills.
- Thorough knowledge of administrative procedures and processes including word processing and spreadsheet applications.
- Strong computer skills including but not limited to: Google Suite, Zoom, MS Office
- Excellent verbal and written communication skills, active listening, critical thinking, time management.
- Ability to work well independently as well as part of a team.
- Ability to work in a fast-paced environment, completing multiple tasks with competing deadlines.
- Ability to handle sensitive situations with discretion and diplomacy.
- Ability to think creatively when finding solutions to problems.

Job Functions/Percentage of Time/Duties
40% Student Services
With Data Science Director and Business Officer, develops and prepares program curriculum plan for each academic year. Anticipates, coordinates and resolves faculty teaching constraints, room problems, major and teaching conflicts. Processes new course approvals through the Master Course Approval system. In charge of all student employment matters. Ensures compliance with employmentlimitations and/or restrictions because of student's visa status. Monitors spending of salarycharges for Teaching Assistant (TA, reader and tutor positions and charges for tuition and feepayments ensuring charges remain within funding received from the Control Point and GiftFunds. Works with Business Officer to prepare the annual temporary Sub-0 budget. ProvidesBusiness Officer with data regarding curriculum and salary to complete report.
40% Undergraduate Program Coordination
Provides advising to new and prospective undergraduates preparing to enroll in DataScience courses on program considerations, program requirements, enrollment procedures,academic policies and university and program rules and regulations. Responsible for preparing and updating the quarterly Schedule of Classes using Ad Astra. Provides enrollment projections, coordinates scheduling with other departments andimplements all scheduling decisions including obtaining classrooms. Work closely with theUniversity Registrar's office for all room scheduling. Responsible for ensuring approval codes are received and distributed according to policy byverifying prerequisites have been met. Creates and manages course waitlists when requestedby instructors. Orders textbooks and desk copies for courses, prepares for posting various schedules andnotices concerning courses. Serves as the program eGrades coordinator. Responsible for ensuring instructors haveaccess to the on line grading system (eGrades), grades are submitted on time, and the processfor changing grades is followed. Uses Student Access and Retrieval System (STAR) system to access and/or inputinformation regarding student, course, or instructor information. Must be cognizant of theconfidentiality of information. Advises students who seek answers to questions about the Data Science program.
10% Academic Personnel Coordination
Responsible for processing employment transactions for ladder faculty and non-senateteaching titles using UCPath. Reviews and evaluates proposed UC, campus, and collectivebargaining unit changes to academic policies providing Director and Business Officer withpotential implementation impact on departmental procedure. Responsible for all Unit 18 lecturer appointments. Prepares draft appointment letters forDirector review. Must be familiar with collective bargaining agreements governing Unit 18employees, work-load credits, etc. Responsible for processing additional compensation for faculty summer 9ths.
10% Program Coordination
Responsible for independently planning and implementing program colloquiums andspecial events. Manages all logistics including developing budgets for events, timelines,coordinating catering, making hotel reservations, room reservations, parking etc. Maintains Data Science Initiative website.
