About the Role

The Grant Management Specialist supports the administration of URUS grant portfolio within the Global Development team. This role is critical in facilitating adherence to grant contract requirements and efficient fund management, working closely with the Global Development Manager, finance teams and project leads to maintain compliance for grant programs and donor-funded projects. The Grant Management Specialist helps ensure that project documentation, spending, and reports align with grantor guidelines, such as those from BMGF, USAID, and USDA.

Responsibilities

  • Oversee compliance protocols for grant programs, ensuring alignment with donor requirements with particular focus on US government regulations including Uniform Guidance (2 CFR 200),
  • Understanding of contract and specific grant policies related to compliance for USDA Emerging Markets Program, USAID Cooperative Development Program, and Bill and Melinda Gates Foundation grants and others.
  • Support the development, maintenance, and accuracy of project financial records and documentation.
  • Coordinate with grant project leads to ensure timely and accurate submission of reports to donor agencies.
  • Collaborate with finance and project teams to maintain grant-related financial tracking and documentation.
  • Support and implement additional projects related to business development, marketing research, and office administration.
  • Act as support to URUS Global Development Manager in various capacities.

Tasks

  • Implement Global Development Finance Manual and make recommendations for improved application of US regulations to internal practices.
  • Maintain and manage a compliance calendar to ensure on-time reporting and submissions.
  • Review financial reports, expenses, and documentation to ensure spending aligns with grant conditions.
  • Contribute to technical and financial reports for submission to USDA, BMGF, USAID, and other grantors when requested.
  • Support the development of compliance checklists, templates, and training materials for URUS staff involved in grant-funded projects.
  • Communicate compliance requirements to project teams and assist with understanding and adhering to donor policies.
  • Prepare and submit documentation for grant audits, working closely with the finance department.
  • Participate in project planning and Monitoring, Evaluation, and Learning (MEL) activities to track grant outcomes and adherence to regulations.
  • Support grant proposal development as well as aspects project implementation on USDA, USAID, BMGF, and other funding mechanisms as needed.
  • Requirements

  • Bachelor's degree in business administration, Finance, International Development, or a related field.
  • At least 3 years of experience in a grant compliance, management, or administrative support role.
  • Familiarity with the compliance requirements of major donors such as USDA, USAID, and BMGF is highly preferred.
  • Proficient in Microsoft Office Suite
  • Experience with grant management systems or compliance tracking tools is a plus.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Approximately 15% travel (domestic and international) as required for grant compliance activities.
