What are the responsibilities and job description for the Front Desk Intake Associate position at Validated Claim Support?

Position Summary:

Validated Claim Support provides a novel approach to the efficacy testing in the skincare, hair care and cosmetic market. This position is responsible for greeting panelists and clients as they enter Validated Claim Support to participate in studies. The Front Desk Intake Associate is also responsible for the flow and experience of a panelist's visit, ensuring the lab knows when they are onsite, or if additional help is needed.

Essential Job Functions

  • Greet, welcome, and direct all visitors, panelists, customers, and vendors.
  • Coordinate and communicate via phone, text, and email with panelist to Schedule appointments for corresponding studies.
  • Review authorized study pipeline for upcoming studies.
  • Input/Upload panelist data.
  • Organize and maintain study participant files.
  • Demonstrate personable and competent communication skills to develop rapport with clients and referral sources.
  • Schedule participants according to study schedule/calendar.
  • Update individual panelist credentials in the data management system as needed.
  • Support team by answering panelist calls and texts as necessary.
  • Receive all letters, packages and deliverables while notifying appropriate parties.
  • Provide prospective and current panelists with support and guidance as needed.
  • Answering phones and redirecting them or taking messages as needed.
  • Manage flow of panelist traffic.
  • Maintains confidentiality of panelist files to ensure compliance with HIPPA etc.
  • Maintains operations by following policies and procedures and reporting as needed.
  • Perform other duties as assigned.

Qualifications

  • Bachelor’s degree (B.A.) preferred with one year’s front desk experience a plus.
  • Must be fluent in English and Spanish.
  • Excellent written and verbal communication skills.
  • Strong organization skills and attention to detail.
  • Excellent time management skills.
  • Prior experience in email / telephone a plus
  • Ability to manage multiple, concurrent tasks and priorities in high traffic environment.
  • Initiative and problem solving / analytical skills.
  • Ability to organize and maintain all visitors and panelists for assigned projects and ensure adherence to established policies and procedures.
  • Ability to work independently but also collaboratively and effectively with other clinical team and other staff members.
  • Proficiency and experience in MS Office Suite (Word, Excel, PowerPoint, Teams and Outlook) required. Experience with database management systems plus.
