Operations Associate
Job Description:
VIA Visually Impaired Advancement is seeking a full time Operations Associate to work 37.5 hours per week.
Under the direction of the Vice President of Vision Rehabilitation, this position is primarily responsible for providing a broad range of functions inclusive of direct client services and department operational support.
Essential Functions:
- Overall reception, clerical, and front-desk duties including but not limited to; attaining and maintaining accurate demographic and financial information, scheduling/rescheduling, reminder calls, insurance/referral verification, check-in/check-out.
- Answer phones and respond to voicemails/ emails promptly and efficiently.
- Perform in/outbound calls to assist with patient questions, training, and concerns related to agency services and use of adaptive equipment.
- Protect client confidentiality in accordance with HIPPA standards.
- Low vision clinic equipment inventory, maintenance, and sales-in accordance with established SOP(s)
- Provide coverage in off-site location(s) during scheduled and unscheduled staff absences.
- Assist the vision rehab department with equipment and cross-coverage services as needed or requested.
- Provide support with the department as needed to achieve department/agency goals.
- Front desk reception coverage as needed.
Competencies:
- Demonstrate excellent external and internal customer service.
- Excellent verbal and written communication skills.
- Proficient use of modern technology including, but not limited to Microsoft Office Suite (Excel, Word, TEAMs, etc.), electronic health record system, QuickBooks, and other systems as necessary.
- Ability to work effectively with individuals of diverse backgrounds and differing abilities.
- Maintain confidentiality and professionalism.
- Ability to think independently, problem solve and execute assigned tasks.
Qualifications:
- High school graduate or equivalent required.
- Prior experience in medical/reception/customer service in an office environment highly preferred.
- Prior experience with medical insurance terminology and general principles highly preferred.
