Reports To: Sr. Accountant

 

The Violence Intervention Program, Inc. (VIP) is the only culturally specific non-profit organization in New York City serving Latinx survivors of domestic and sexual violence, the vast majority of whom are immigrants. Created as a grassroots response to intimate partner violence and sexual assault, VIP has always centered survivors in its leadership and has worked to create a community of staff that reflects the rich national, ethnic and racial diversity of the communities it serves. VIP operates three community-based social service programs, two residential shelter and housing programs, a 24/7 hotline, innovative economic justice and sexual violence programs, and a robust community engagement program.

 

The Program Assistant plays an important role in the operations of the Residential Programs. The Program Assistant ensures fiscal processes are effective and efficient to minimize delay in service delivery. In close collaboration with the Directors and Managers of the Residential Programs, the Program Assistant will support operational processes and reporting such as petty cash, purchase orders, check requests, invoices, attendance sheets, and more. They will review and monitor inventory, update community resources, and provide assistance with client needs. The Program Assistant reports to the Sr. Accountant.

                                                           

Essential Functions:

  • Complete and submit necessary billing documents.
  • Complete purchases for Residential Programs.
  • In conjunction with Directors and Program Managers, work to secure donations of furnishings, clothing, equipment, and other items/goods which serve to enhance the facility or needs of VIP participants.
  • Ensuring forms regularly used by staff, including standardized forms, policies and procedures, and notices are centralized and updated regularly.
  • Assist in the transportation of client(s) and staff.
  • In conjunction with staff, work to identify and resolve operational conflicts, violations and emergencies, in a timely and collaborative manner.
  • Assist in preparing the budgets for Residential Programs.
  • Develop and strengthen program staff skills to incorporate financial literacy in the performance of their responsibilities and continuous management of the program budgets.
  • Perform other tasks as required, including any related supervisory and administrative duties as needed.

 

Data Collection & Entry:

  • Accurately record all required information that will be pertinent in accounting software.
  • Collect and analyze data to enhance service delivery for the purpose of achieving outcomes.
  • Make recommendations for improvement or enhancement to data processes to ensure standards in data entry, collection, and retrieval are achieved.

 

Requirements:

  • Bachelor Degree in business administration or relevant experience;
  • Experience in working in the nonprofit sector;
  • Experience with accounting software (Fund EZ preferred), and a high degree of spreadsheet application proficiency;
  • Experience working in a culturally and linguistically diverse environment;
  • Bilingual (English/Spanish) a plus;
  • Strong verbal, written, communication and documenting skills;
  • Comfortable working in diverse communities, particularly with Latinx, people of color and low-income populations;
  • Demonstrated ability to work independently and as part of a team, including collaboration with professionals across disciplines;
  • Ability to travel via reliable means of public transportation (bus, train, car, etc.)
  • Must exercise good judgment and sensitivity at all times;
  • Must have ability to operate office equipment such as computers, copy/print machine, phone systems, etc. with strong internet and software skills including Microsoft Office
  • Must ensure agency, program and client confidentiality at all times.

 

Compensation & Benefits

  • Full time, non-exempt position, working 35 hours per week with annual wages of $45,500.
