Vivida Dermatology is growing and in need of an additional Front Office Specialist. The candidate will be an important part of assisting the Front Office in processing referrals, verifying insurance, sending letters, being back up to the check in/out team. We are seeking an energized and positive individual to join our team with at least 2 years Medical Front Office experience that will be a team player willing to jump in wherever needed to ensure an excellent experience for patients and the team.
JOB SUMMARY:
The Front Office Specialist is a crucial part of the team. It is the front door to the practice – whether on the phone or through the door. He/she is the first person each patient interacts with upon walking into the office. Not only do they get patients checked in and out, but also are responsible for scheduling appointments, answering phone calls, and dealing with the day-to-day operations. Excellent customer service is the foundation of this role.
KEY JOB RESPONSIBILITIES:
- Superior time management skills.
- Excellent computer and phone skills are a must for this role.
- Schedule patients in person and over the telephone for general dermatology, surgery, or medical spa services.
- Answer questions, schedule appointments and convey information to clinical team.
- Respond to patient issues and return calls and emails to patients in a prompt manner. All email and calls from patients should be returned by end of business.
- Assist team members as needed with client questions/issues and paperwork. Fulfills all requests for medical records from patients and outside sources.
- Process incoming referrals, verify insurance, and communicate with referral source via telephone and/or electronically.
- Confirming all patient appointments prior to scheduled date.
- Manage wait times for patients in lobby. Communicate with team leads throughout the day.
- Handle deposits at the end of the shift and count cash drawer at the beginning and end of day.
- Handling cash transactions and making change for patients as needed.
- Check-in and check-out of patients.
- May be responsible for opening and closing office.
