Position Summary
The Auditor’s Accounts Payable Clerk provides clerical and organizational support by ensuring accurate entry and maintenance of data and financial records and other clerical duties necessary for the daily operations of the Auditor’s Office and Warren County.
Essential Duties and Responsibilities
· Conduct daily review of accounting documents, including invoices, vouchers, expense reports, and other expenditure records, for proper coding, accountability, and authorization.
· Process invoices and payments in an accurate and timely manner, scheduling and executing payments via checks, wire transfers, or ACH transfers.
· Match invoices to vouchers and receiving documents, resolving any discrepancies that may arise.
· Reconcile vendor statements and resolve any outstanding balances or payment issues.
· Maintain accurate and organized manual and computerized records of invoices, payments, and other relevant accounts payable documentation.
· Assist with the preparation of annual 1099 forms.
· Serve as the primary contact for vendors, responding to inquiries regarding payment status and resolving any financial issues.
· Verify employee expense reports for accuracy and compliance with county policy.
· Maintain the vendor W-9 file to ensure compliance.
· Audit all monthly claims, ensuring proper account coding and adherence to established procedures.
· Prepare regular and special financial reports for management and external state auditors, compiling and summarizing data from accounts payable records.
· Assist with State Auditor requests, providing necessary documentation and support during audits.
· Perform core receptionist duties: Greet and direct visitors to the appropriate staff or department with a professional and friendly demeanor.
· Manage incoming communications: Answer, screen, and direct phone calls promptly and professionally, taking messages as needed.
· Perform general clerical duties for the Auditor's office, such as sorting mail, scanning documents and general filing.
· Assist with month-end closing activities as necessary.
· Strong team player who actively helps and collaborates with colleagues in all other departments on tasks as needed, contributing to the overall efficiency of the Auditor's office.
· Perform all other duties as assigned.
Qualifications
· High School Diploma or GED required.
· At least three (3) years of comparable experience in accounts payable, bookkeeping, or a related accounting role. Previous front-desk or receptionist experience is a plus.
· Proficiency in data entry with a high level of accuracy.
· Strong knowledge of basic accounting principles.
· Must be highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment while meeting strict deadlines.
· Must be able to exercise independent judgment and problem-solve effectively within established guidelines.
· Excellent communication and interpersonal skills for interacting with county employees, vendors, the public, and phone callers.
· Must consistently exhibit professionalism and be a positive representative of the Auditor's office and Warren County in all interactions.
· Proficiency in typing and highly proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
· Ability to maintain a high level of confidentiality.
