Job Summary
A WCVMC Client service representative’s main responsibility is to be pleasant, accommodating and observant to the needs of our clients and patients. Maintain a positive and professional relationship with all of the WCVMC family and adopt our core values and mission statement.
Core Responsibilities
- Adhere to all hospital protocols and maintain the highest ethical, moral and professional standards
- Maintain a professional appearance and attitude

- Communicate effectively with clients and WCVMC staff
- Perform other related duties as directed by the owner, management or administrators
Duties
Reception area
- Greet clients and pets, by name
- Check in patients and verify and update client/patient info
- Communicate with clients about any appointment delays
- Maintain the appearance and cleanliness of the lobby and CS area and report any repairs needed
- Re-stock any products, brochures and client education materials in the lobby and CS area
Phone
- Professionally answer all incoming calls
- Screen and direct calls to the appropriate staff member(s)
- Schedule appointments, request medications and leave detailed messages for management and/or doctors
Files and correspondence
- Use Cornerstone software system to accurately and efficiently search for information
- Fax, email or mail client records at client or another animal hospitals request
- Provide treatment plan estimates for vaccinations or other procedures
- Complete clipboard for all surgery and drop off procedures for the following day
Financial responsibilities
- Correctly receive payments with merchant services system and accurately process payments in Cornerstone
- Handling cash
- End of day procedures
- Count cash drawer
- Match database to actual credit card, check, cash and care credit
- Reconcile any mistakes
Skills, Knowledge and other attributes
- Knowledge of veterinary procedures and terminologies
- Must be able to carry 30lbs
- Passionate about animals
- Ability to relate with clients in a friendly, professional manner
- Excellent phone etiquette
- Exercise patience with clients
- Exceptional organizational skills
