About the Role:
The Western States Regional Council of Carpenters is seeking a highly capable and process-oriented Project Manager to support the Contracts Administration Department. Reporting directly to the Senior Operational Director, this position is instrumental in aligning operational workflows, project execution, and stakeholder communication with the Council’s strategic objectives.
The ideal candidate will have a strong background in project management within regulated or union environments and a proven ability to drive efficiency, compliance, and stakeholder satisfaction across contract administration functions. This role will work closely with legal teams, regional managers, and administrative staff to enhance department performance, guided by established Key Performance Indicators (KPIs) under the Senior Operational Director’s strategic framework.
Key Responsibilities
- Contract Lifecycle Oversight: Manage and optimize the full contract lifecycle workflow, ensuring timely execution and adherence to legal and internal compliance standards.
- Cross-Functional Coordination: Serve as the primary liaison between legal, regional field offices, and support staff to streamline communications and reduce process friction.
- Performance & KPI Monitoring: Track department-specific KPIs—including contract turnaround times, compliance rates, and stakeholder satisfaction—and provide monthly performance dashboards to executive leadership.
- Process Standardization: Lead initiatives to identify inefficiencies, implement automation where appropriate, and standardize templates and SOPs to ensure consistency across all regions.
- Stakeholder Engagement: Conduct routine stakeholder feedback sessions and proactively communicate updates, expectations, and procedural changes to ensure transparency and alignment.
- Change Management & Training: Partner with HR and IT to train stakeholders on new tools, workflows, and policies. Document and disseminate materials to facilitate change enablement.
- Strategic Alignment: Collaborate with the Senior Operational Director to ensure that all project initiatives support the broader organizational goals and maintain compliance with council-wide policies.
Qualifications
- Bachelor’s degree in Business Administration, Project Management, or related field.
- Minimum of 3-5 years of project management experience, ideally within contract administration, legal, or compliance-focused settings.
- Proven experience with process optimization, change management, and cross-functional coordination.
- Strong proficiency in project management tools (e.g., MS Project, Asana, Monday.com) and data reporting.
- Knowledge of contract lifecycle management systems (e.g., CLM platforms) and union/regulatory compliance is strongly preferred.
- Certification in Project Management (PMP, PRINCE2) highly desirable.
