Essential Functions on the Executive Side:
- Handle various responsibilities that includes and is not limited to answering multiple phone lines, scheduling and coordinating both internal and external meetings and other general administrative functions.
- Communicate with Clients when needed, and internal business partners as a part of normal business and day to day operations.
- Provide support with team events, activities and meetings.
- Assist with preparation and review all documents for meetings as well as any communications.
- Draft correspondence on behalf of the company while maintaining style and brand representation.
- Contributes to the team effort, fostering a positive work environment and continually demonstrates the Company's Core Values.
- Other Job Duties:
- Serve as a go-to resource for employer and other staff members
- Create and/or modify presentations, reports, informational packets and other materials
- Work closely on company-wide activities, programs and processes.
- Create solid working relationships with other administrative staff, sales agents and clients.
- Work professionally with senior executives and clients, think and work independently, be proactive, handle confidential information and work effectively and efficiently.
- Uses internal communication systems to keep all Team members informed at all times (Facebook, Google Drive, etc.).
- Builds, implements, and manages systems for better efficiency within the role.
- Other ad hoc projects as assigned
Transferring lab work results to spreadsheets
Creating lab work orders
Making appointments with potential clients
Posting social media posts
Weekly newsletter submission
Various tasks and projects that come up
Assist with shows or workshops that are presented
Esstional Functions on the Personal Side:
-Read, monitor, and respond to emails
-Booking and arranging travel, transport and accommodations
-Help manage social media platforms
-Running household errands (e.g. groceries, dry cleaning, shopping, etc.)
-Household management (e.g.appointments for service vendors)
-This position is available Monday through Friday, 10AM - 6PM. Exact hours could be somewhat flexible for candidate’s and employer’s needs. Possibility to work night and weekends if requested by client but notice will be given in advance.
Qualifications:
- Experience preferred but not required
- Multitasker
- Technically savvy with typing proficiency (experience with Microsoft Office Suite programs). Advance computer skills required. Able to learn my in-house software (Practice Better software experience is a plus) and my in-house newsletter and social media software
- Extensive experience working with high level executives; Client management experience is a plus.
- A critical thinker, anticipation skills, exhibits advanced decision making capabilities and ability to exercise judgement in all tasks.
- A high level of integrity, earning the respect and trust of his/her peer groups and executives.
- Experience exercising discretion and confidentiality with sensitive information
- Strong communication skills a must – verbal and written.
- Can expertly navigate social media platforms like Snapchat, Instagram, Facebook and TikTok
- Exceptional interpersonal and partnership skills.
- Highly motivated and able to adapt to changing priorities.
- Organized
Public engagement experience required, as this position may require client contact. Good communication skills, empathy, and friendliness is a must.

Pay: $10.00 - $20.00 per hour
