Job Summary
Responsible for providing administrative support to the Install Department
Essential Job Functions
- Professionally administer incoming service calls and ensure the customer’s needs are appropriately met
- Route calls to the appropriate department
- Greet and assist service visitors in a professional, friendly manner
- General clerical duties (field customer calls, filing, records management, correspondence, etc…)
- Provide callers with information such as company address, directions, fax numbers, company websites, etc.
- Invoice completed work orders
- Request, receive and apply Purchase Orders
- Send credit information/payment terms to customers and track accordingly
- Maintain office equipment in ready for use status (refill paper tray, toner, schedule preventative maintenance/repairs as needed)
- Work order processing and data management of accounts in business information system (FieldServio)
- Manage rental equipment for upcoming/current jobs
- Assist with parts sales/shipping
- Serve as liaison to customer providing status updates
- Typing and logging of all service quotations - as needed
Additional Job Functions
- Assist with scheduling service technicians
- May be asked to conduct customer follow-up on how service was performed
- Additional duties as assigned
Required Knowledge, Skills and Abilities (including physical and work environment)
- Working knowledge of basic accounting principles relating to invoices
- Working knowledge of Microsoft Office applications such as Excel, Word, Outlook and Internet Explorer as well as the ability to learn the Company’s business information system (FieldServio)
- Skilled in the areas of interpersonal communication, organization, accuracy, and professional verbal and written communication
- Must be able to maintain and protect the confidentiality of all Company proprietary information and trade secrets
- Ability to work independently on assigned tasks as well as accept direction from Management
- Ability to apply teamwork principles when working with Company personnel
- Work environment requires exposure to computer screen, typing/mouse usage, climbing, and extended periods of sedentary work.
- Ability to lift materials up to 10 pounds
Minimum Job Qualifications (education, work experience, licenses/certifications)
- High school diploma or equivalent (GED) and 1 year of related work experience or training, or an equivalent combination of education and experience
