Essential Job Functions
- Schedule service technicians daily in an efficient manner; including scheduling all periodic maintenance agreements
- Professionally administer incoming service calls and ensure the customers needs are appropriately serviced by opening work orders and communicating with other teams to make sure they are fulfilled in a timely manner.
- Greet and assist service visitors in a professional, friendly manner
- Ensure all Tampa branch service technicians have what they need to perform their jobs on schedule by working closely with the parts department to make sure all parts are on hand for service jobs
- Manage various reports for accuracy
- Daily management of the WIP (Work in Progress) report
- Invoice completed work orders for major/strategic accounts
- Invoice Preventative Maintenance work orders
- Manage the pull list for PM accounts
- Track open work orders, parts status follow-up, and work order scheduling
- Manage the PMs not rolled over report
- Ensure package care customers are serviced and invoiced properly and on time
- Invoice installation work orders
- May be asked to conduct customer follow-up on how service was performed
- Assist, as needed, with inputting and closing warranty claims on web portal, posting all service timesheets, filing of all invoiced work orders, typing and logging of all service quotations, maintaining office equipment in ready for use status (refill paper tray, toner, schedule preventative maintenance/repairs as needed)
- Additional duties as assigned
Required Knowledge, Skills and Abilities (including physical and work environment)
- Must be able to work in a fast-paced, customer-centric environment
- Working knowledge of basic accounting principles relating to invoices
- Working knowledge of Microsoft Office applications such as Excel, Word, Outlook and Internet Explorer as well as the ability to learn the Companys business information system
- Must be able to maintain and protect the confidentiality of all Company proprietary information and trade secrets
- Ability to work independently on assigned tasks as well as accept direction from Management
- Must be able to complete high volumes of work with accuracy and efficiently
- Excellent communication and interpersonal skills
- Ability to apply teamwork principles when working with Company personnel
- Work environment requires exposure to computer screen, typing/mouse usage, climbing, and extended periods of sedentary work.
- Ability to lift materials up to 10 pounds
Minimum Job Qualifications (education, work experience, licenses/certifications)
- High school diploma or equivalent (GED) and 1 year of related work experience or training, or an equivalent combination of education and experience
