Amundsen Davis, a full-service business law firm, is seeking an experienced Legal Assistant to join our growing Firm! This role provides comprehensive administrative support to attorneys specializing in business law, as well as trusts and estates. This role involves managing legal documentation, client communication, and office organization to ensure the smooth operation of the trusts and estates practice.
Essential Duties and Responsibilities
- Assist with preparation of and proofread legal documents related to trusts, wills, probate, and estate planning.
- Communicate with clients, both in person and over the phone, to schedule appointments and gather necessary information.
- Answer phone calls, take messages, and redirect calls to appropriate staff.
- Handle incoming and outgoing mail and emails.
- Maintain positive client relationships and provide updates on case status when necessary.
- Organize and maintain physical and electronic files for clients.
- Ensure all electronic documents are accurately labeled, stored, and easily accessible.
- Manage attorneys' calendars, scheduling meetings, hearings, and appointments.
- Send reminders to attorneys and clients about upcoming deadlines and meetings.
- Assist with client billing and invoices.
- Collaborate with other legal secretaries and staff to ensure efficient workflow within the firm.
- Assist with general office operations.
- Assist colleagues during busy periods or special projects as needed.
Required Competencies, Education and Experience
- Qualified candidates will have at least ten years experience as a legal secretary and proficiency in Microsoft Word, Outlook, Excel, and document management systems.
- Minimum five years experience supporting Estate Planning team or similar.
- The candidate should be confident, highly organized, resourceful, and detail-oriented.
- Candidates should demonstrate an ability to be proactive, assertive, and willing to work independently and collaboratively with other legal assistants, paralegals, and attorneys to meet deadlines and provide excellent internal and external client service.
- Candidates should be able to communicate clearly and concisely with a solution oriented approach.
- High School Diploma or GED required; Bachelor’s degree preferred.
