The Office Assistant, UGAA position will assist the people, projects and programs that fall under Undergraduate Academic Affairs. Due to the multiple campus stakeholders that interact with this office, this position requires demonstrated experience and competence in working with diverse constituents. The office assistant must be trustworthy and appropriately handle confidential and proprietary information. When assisting with front desk coverage and while in the office, the office assistant must contribute to creating a welcoming, positive and professional space for students, faculty, and staff, as well as for visiting families and callers.
Responsibilities include:
- Provide coverage for the front desk including answering phones, transferring calls and/or taking messages; sending and receiving facsimiles and emails on behalf of Undergraduate Academic Affairs.
- Assist with projects as required (i.e. prepare materials for distribution, create spreadsheets, event set-up, etc.)
- Maintain office inventory
- Run errands across campus to deliver documents and materials
- Provide service excellence through courteous, informed, accessible and professional engagement.
- Perform other duties as assigned
Qualifications:
- Effective Communication Skills - able to communicate clearly and effectively, updating supervisor(s) on status of projects and ongoing work.
- Trustworthy - proven ability to keep confidences, respect privacy and keep all aspects of the work confidential, as appropriate.
- Detail Oriented - proven accuracy and attention to detail. Independent work - able to self-motivate and work independently with limited supervision.

- Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.
