General Position Statement
The Poultry Relationship Administrator plays a vital support role within the Poultry Lending Department, specializing in poultry industry borrowers. This position is responsible for coordinating and executing administrative, operational, and compliance tasks to support the lifecycle of poultry-related loans. Working closely with Poultry Loan Officers, this position ensures efficient loan processing, high-touch service to poultry growers and integrators, and strict adherence to regulatory requirements including FSA and SBA-guaranteed lending. The role requires a strong understanding of agricultural lending practices, poultry facility collateral, and government-backed loan programs to ensure accuracy, timeliness, and exceptional service to one of the bank's most complex and asset-heavy customer segments.

- Customer Relationship Support - Serves as the primary administrative contact for poultry customers, supporting borrowers through the loan process including renewals, advances, equipment purchases, expansions, and construction-phase draw management. Assists in onboarding new poultry clients, gathering required personal, entity, and farm-level documentation. Educates customers on applicable bank services (treasury, escrow, sweep accounts, ag checks, etc.) and cross-sells based on needs.
- Loan Preparation & Processing - Prepares and assembles documentation for new loans, renewals, and amendments involving poultry grower contracts, broiler house construction, retrofits, equipment purchases, or refinancing. Coordinates with Poultry Loan Officers and Credit to ensure that all FSA/SBA eligibility documentation and timelines are satisfied for government-guaranteed loan processing. Coordinates environmental compliance documentation, integrator contracts, and poultry insurance coverage.
- Collateral & Compliance Management - Assists with gathering environmental reports, integrator letters, and nutrient management plans for loan files. Orders appraisals for poultry farm tracts and improvements per regulatory and policy standards. Coordinates with title attorneys for farmland collateral, UCC filings, Assignments of Proceeds (integrator checks), and escrow account setup. Reviews and resolves credit and collateral exceptions, ensuring ongoing documentation integrity for loan review and regulatory audits.
- Loan Operations Coordination - Submits loan request packets with appropriate product codes, call codes, collateral types, and government guarantee classifications. Ensures loan files include poultry-specific items such as house diagrams, floorplans, integrator letters of intent, and energy efficiency disclosures. Tracks lien releases and chattel mortgages for used equipment, trailers, and personal property tied to the operation.
- Communication & Workflow Management - Acts as a liaison between the customer, title attorney, insurance providers, integrators, and the Loan Officer to facilitate timely closings and draw requests. Maintains up-to-date communication with Poultry Loan Officers on file status, exceptions, customer needs, and required follow-ups. Reviews flood certifications, calculates required poultry facility flood insurance, and coordinates escrow setup if applicable.
- Bank Systems & Reporting - Creates CIF records, initiates loan setup documentation in the core system, and ensures all poultry loan actions are properly booked. Pulls and manages exception reports, loan performance data, and prepares servicing reports for internal use. Assists with uploading documents into imaging systems and verifying compliance with CIP/BSA/Beneficial Ownership requirements.
- Special Functions & Industry Knowledge - Supports Loan Officers with FSA 2211s, borrower eligibility forms, farm business plans, and entity verification for multi-owner operations. Maintains work ng knowledge of integrator contract cycles, energy grant timelines, USDA and FSA filing windows.
- May support field visits with Loan Officers or attend industry events or integrator meetings as needed.
- Completes annual compliance training, with special attention to ag-related regulations, FSA/SBA guidelines, and Fair Lending.
- Performs other duties as assigned to support poultry lending portfolio growth and performance.
- Participates in the bank's High-Performance Rewards Connections program.
- Maintains a thorough knowledge of Bank products, services, policies, procedures and appropriate regulatory issues as related to daily job functions including, but not limited to; Bank Secrecy Act; Privacy Act: Fair Lending Act; Regulation E, etc. Completes required compliance training and adheres to the Bank's standard of conduct.
