To fulfill the needs of business development, we are hiring a passionate and professional Administrative Assistant to join our growing team in headquarters here in Beaverton Oregon.
We are seeking a highly organized and proactive individual to join our team as an Administrative Assistant. As an integral part of our company, you will be responsible for various tasks to ensure the smooth operation of our office and maintain a positive and welcoming environment for both employees and guests. The ideal candidate will possess excellent communication skills and a strong attention to detail.
Responsibilities:
- Receiving incoming phone calls and directing them to the appropriate personnel.
- Greeting and welcoming guests, clients, and vendors with a friendly and professional demeanor.
- Managing the company calendar to facilitate efficient scheduling and utilization.
- Conducting weekly inspections of office supplies to ensure proper stock levels are maintained.
- Assisting in equipment management, including inventory tracking and maintenance coordination.
- Securely storing and delivering personal protective equipment (PPE) and office supplies to staff members.
- Coordinating company activities, such as team-building events and social gatherings.
- Providing support in property maintenance tasks and effectively communicating with vendors.
- Generating a monthly newsletter to keep employees informed about company updates and events.
- Coordinate with the safety committee to create a safe and secure environment for all employees and visitors.
Qualification:
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Proven experience in administrative roles or similar positions is preferred.
- Proficient in using office software, including Google Drive, word processing, spreadsheet, and presentation applications.
- Exceptional communication skills, both verbal and written, with a friendly and professional attitude. The candidate should demonstrate strong communication skills, including the ability to work effectively with individuals from diverse language backgrounds, showing patience, empathy, and a willingness to find alternative means of understanding and cooperation.
- Strong organizational skills and the ability to multitask and prioritize tasks effectively.
- Attention to detail and a commitment to maintaining a clean and welcoming office environment.
- Ability to work collaboratively in a team-oriented setting as well as independently.
- Flexibility to adapt to changing priorities and handle occasional after-hours events.
